Position Summary:
The Administrative Assistant is responsible for aiding the Community Living Assistance Support Services (CLASS) Program Director and CLASS Case Managers with administrative tasks according to Medicaid Waiver program requirements. Provides back-up support to the front desk functions. Assists the CLASS Program Director with administrative duties related to the department, as needed.
Essential Job Functions:
- Assists the CLASS Program Director and all Case Managers with administrative tasks
- Serves as back-up for front desk duties when Office Manager or other staff members are not available
- Provides administrative support to Vice President of Community Living Services, as needed
- Answers phones, transcribes phone messages and emails them to the appropriate party
- Processes incoming/outgoing mail and faxes
- Maintains the Easter Seals' Client Databases expeditiously and independently.
- Collects data as necessary for reporting, billing, and additional CLASS requirements
- Processes timesheets, purchase order requests, as well as mileage and expense reimbursements
- Maintains office supplies for the CLASS department
- Assists with building/facilities needs relating to mail, maintenance, and program requirements
Experience and Education:
- High School Diploma or GED required
- Must have a working knowledge of Microsoft 365, including Word, Excel, Outlook, OneDrive, SharePoint and Teams or the ability to learn them expeditiously and independently.
- Strong data entry, excellent phone etiquette and interpersonal skills
- Spanish/English proficiency preferred.
- Demonstrate strong written and oral communication skills.
- Ability to work independently with a minimum of supervision, deals effectively with deadlines, handle fast-pace and multiple priorities with high degree of efficiency and accuracy
