Key Responsibilities:
- Phone Intakes and Management:
- Respond to incoming calls promptly and professionally, answering questions or directing them to appropriate staff members
- Conduct initial screenings and intakes over the phone to assess clients’ needs and match them with appropriate counselors
- Gather relevant information from clients to complete intake forms accurately and efficiently
- Providing empathetic support and information to individuals seeking counseling services, addressing any concerns or questions they may have
- Taking detailed messages and ensuring timely follow-up on inquiries or requests
- Manage voicemail system, retrieving messages and responding or forwarding them accordingly
- Administrative Support
- Assist with scheduling appointments, managing calendars and coordinating logistics for counseling sessions
- Maintain client records and ensure confidentiality and compliance with relevant regulations
- Assist with billing and insurance verification processes as needed
- Collaborate with other team members to streamline administrative procedures
- Attend monthly staff meetings
- Meet bi-weekly with Executive Director to ensure continued communication and best client care
- External Relations
- Build rapport and establish positive relationships with clients, demonstrating empathy, patience and professionalism
- Address client concerns promptly and professionally
- Provide information about counseling services, fees, insurance coverage, and other relevant details to prospective clients
- Build relationships with referral sources and work to develop a community of resources that are trusted and verified
Qualifications:
- A passion for the mission and vision of Selah Counseling Center
- Experience in highly autonomous administrative roles
- Passionate about Christian Counseling and the role it plays in the Church and in the psychological world
- Excellent communication and interpersonal skills
- High integrity and desire to abide by counseling ethical codes
- Experience maintaining client records and documentation
- Ability to work collaboratively
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks efficiently
- Proficiency in Google Suite
Job Type: Part-time
Pay: $27.00 - $35.00 per hour
