Job Description Summary
Serves as the subject matter expert on the Campus Based federal programs. Responsible and accountable for the administration of these programs to the University of La Verne and eligible students. Primary focus is federal work study (FWS) and supplemental grants (SEOG). Provides backup assistance with Federal Pell Grant, Federal TEACH Grant, Cal Grant, and Golden State Teach Grant. Serves on Satisfactory Academic Progress (SAP) appeals committee. Reviews students who change enrollment or withdraw and makes all necessary adjustments to maintain compliance, including the Return to Title IV (R2T4) processing per federal regulations.

Minimum Qualifications
  • Bachelor's degree or combination of education and equivalent related experience.
  • 3 years of prior experience in a Financial Aid or Career Services role, preferably in a nonprofit institution.
  • 1 year of prior experience working with sensitive and private data, and requisite ability to maintain privacy and data security.
  • Knowledge of MS Office tools, especially Excel.
  • Ability to manage program funding budgets, to balance records and track changes.
  • Ability to counsel student workers on job development skills and conflict resolution.
  • Sound judgment and ability to develop and document best practices.

Preferred Qualifications
  • Prior experience with Ellucian Banner student information system.
  • Familiarity with the Campus Based Programs as outlined in the Federal Student Aid Handbook.

Duties
Specific Duties
Administer, manage and supervise the Campus Based Federal Work Study (FWS) and Supplemental Grant (SEOG) programs in the monitoring of funds to the University of La Verne. Including, but not limited to, maintaining institutional eligibility, determining student eligibility, awarding, disbursing, reporting, and reconciling of federal Campus Based Program funds. Update payroll for FWS earnings in the Banner Financial Aid module after each semimonthly process; collaborate with Payroll to troubleshoot any discrepancies or concerns.
Specific Duties
Oversee the placement of federal work study positions, the coordination of funding allocations based on need and demand, revising allocations when necessary. Coordinate with Human Resources to ensure the completion of onboarding processes. Monitor the commitment of Campus Based funds, including transfers of resources between SEOG and FWS programs, make recommendations for distribution of available funds.
Specific Duties
In conjunction with the Career Services Office, serves as liaison with internal departments to leverage student employment opportunities with the community.
Identifies potential employment opportunities for student employees within the La Verne community, and to support off campus job opportunities for students that fall within the Job Location Development program.
Collaborates with Community Engagement Office to coordinate community service (off campus) student employment opportunities and ensures the University meets the minimum federal requirement of work study allocation to support students working in community service jobs.

Assists in collecting and reconciling data on the individual and aggregate use of Campus Based funds for reporting on the annual FISAP and to support the A-133 audit.
Specific Duties
Maintain position descriptions in alignment with the FISAP definitions for community service, literacy, math tutoring, civic engagement, and job location development. Advise on the development of new FWS positions as to their Title IV compliance and appropriate designation. Serve as the liaison for supervisors of FWS positions, field requests for allocations, provide program policy information, and distribute notices concerning limited and exhausted allocations to respective supervisors.

Coordinates with Career services on the Student Employee of the Year program and similar engagement activities. Communicates with supervisors to obtain nominations and leads the committee in reviewing and selection process.

Assist with student contact and outreach, including but not limited to, office phones, FINAID e-mails, University events both on and off campus. Respond to all internal and external communication via e-mail, phones, etc. in a timely manner.
