POSITION: Call Center Agent
DEPARTMENT: Administration
REPORTS TO: Practice Administrator/Front Office Manager
Job Summary: This individual is responsible for continuing the development, maintenance, and growth of the practice; coordinating and implementing practice outreach programs; and serving as patient advocate while representing, in a professional manner, the best interests of the practice.
Education and Experience:
- One to two years of ophthalmic/optometric experience preferred.
Essential Skills and Abilities:
- Self-starter with the ability to work independently.
- Strong organizational skills with attention to detail.
- Proficiency in PC software.
- Ability to travel regionally.
- Excellent communication skills with the ability to write reports and business correspondence.
- Ability to effectively present information and respond to questions from referral sources, patients, and other customers.
- Highly professional image.
RESPONSIBILITIES:
- Coordinates the development, budgeting, and marketing planning of the practice outreach department.
- Assumes responsibility for the organization and management of the outreach department:
- Establishes and fosters relationships with all optometric and other referring providers.
- Maintains protocols for visiting a minimum of six existing referring providers per week, as well as two prospects per week.
- Coordinates all continuing education functions for the practice referral sources.
- Provides ongoing educational support tools to the referring providers in the areas of reimbursement and compliance.
- Coordinates with the medical staff of the practice to ensure proper communication and follow-up with referring providers.
- Communicates on a regular basis with the executive committee and medical director with written status reports. These reports will be designed by the outreach coordinator and approved by the director of marketing.
- Maintains a database with pertinent information regarding referral sources of the practice and referral patterns of each individual.
- Prepares a yearly calendar of events for the referring providers.
- Maintains the speaker’s bureau and schedules presentations.
Coordinates and implements the outreach programs
1. Schedules regular vision and eye pressure-screening services to interested community groups.
2. Coordinates the screenings and operates screening equipment.
3. Organizes a speaker’s bureau for interested community groups on general medical and eye care issues.
4. Arranges participation for the practice in community health programs and attends on a regular basis.
5. Develops a series of specific events and seminars in accordance with the marketing plan for the practice.
6. Oversees community, public, and media relations.
7. Develops and consults with the practice executive committee on promotional and print material.
