Job SummaryThe University of North Georgia is currently accepting applications for a Cadet Services Coordinator on the Dahlonega campus. Primarily responsible for the administrative management and quality control of United States Army Cadet Command Cadet contracting, monthly Cadet stipend, and scholarship actions for the Military Science Department. Conducts routine coordination and auditing of data within the department, university offices, Georgia Army National Guard, and United States Army Cadet Command. Responsible for the management of scholarship validation and ensuring Cadet students are in compliance with regulations governing Cadet monthly stipend and scholarship benefits. Responsible for the data collection and processing for freshmen Cadets and data processing for contracting Cadets. Processes financial validation requirements for the Professor of Military Science. Responsible for administrative support to the Professor of Military Science Staff and performs critical and routine staff coordination.
Responsibilities- Responsible for Cadet monthly stipend management program and all Cadet pay transactions. Conducts financial audits for all contracted Cadets within the Corps of Cadets to ensure Cadets are in compliance of receiving monthly stipend and annual scholarships from the United States Army. Produces monthly reports relating to specialized pay for Cadets. Conducts daily interaction with United States Army Cadet Command at Fort Knox Kentucky. Responsible for establishment of direct deposit payment for contracted Cadets.
- Responsible for quality control process for United States Army Cadet contracts ensuring completeness for contracting eligibility (civil convictions, academic GPA, prior service codes, physical fitness criteria, university standing, etc.) Conducts interviews with contracting candidates to ensure compliance within critical areas of concern and qualifying requirements.
- Conducts all aspects of information briefings, advisement, and initial coordination in regards to United States Army funded scholarships with Cadets on pre-existing awarded scholarships and Cadets applying for scholarships. Conducts collaborative efforts with the university Financial Aid Office, ROTC recruiting team and the Cadet Admissions. Assist Military Science Cadre with mandatory scholarship counseling during each semester.
- Responsible for the management of daily certifications in the Cadet Command Information Management System (CCIMS). Responsible for the management of Cadet entitlements and contract pay. Conducts administrative validations for Cadet pay. Ensures transactions are validated for the Professor of Military Science (Department Head). Conducts transactions comprised of uniform computation pay, Cadet academic placement to the appropriate military science level by verifying academic transcripts and required military science completion requirements, and Cadet contracting transactions.
- Responsible for the processing of freshmen Cadets during Freshmen Recruit Orientation Group (FROG) week. Coordinates with university staff, Cadet Admissions, Commandant of the Corps of Cadets, and University Student Health to ensure Cadet requirements (administrative data, forms, medical documentation, etc.) are complete and appropriately filed. Responsible for the data upload of enrollment records to CCIMS in order to meet compliance of United States Army Cadet Command policies and guidelines.
- Responsible for the processing of the Guaranteed Reserve Forces Duty (GRFD) for Cadets who are on the Georgia Military Scholarship (GMS) for the Georgia Army National Guard or pursuing United States Army Reserve component. Coordinates with the United States Army Cadet Command, National Guard/Reserves Liaison for processing of GRFD contracts.
- Conducts routine auditing and data entry on internal, university, and United States Army Cadet Command databases.
- Provides administrative support to Professor of Military Science staff. Performs other duties as assigned.
Knowledge, Skils, & Abilities
- Knowledge of standard accounting and/or business practices.
- Requires a general working knowledge of the department's functional area.
- Requires working knowledge of military policy, prodedures, guidelines.
- Experience working in an academic and human resource environment.
- Strong oral and written communication skills, excellent interpersonal and teamwork skills, and customer service.
- Microsoft Office products such as Word, Excel and Access, or other office software.
- Ability to maintain confidentiality of student and departmental records of a sensitive nature.
- Ability to perform routine computations and tabulations accurately.
- Ability to multi-task, manage workload, and meet deadlines.
- Ability to review and implement military regulations as they are published.
- Bachelor's degree required.
