Job description

Position Summary
This role plays a vital role in enhancing the company's operational efficiency by orchestrating the development of project proposals, financial management, project accounting oversight, meticulous record-keeping, and essential HR duties execution. This role also provides administrative support, and develops procedures for establishment registration, product listing and device listing with the FDA. Additionally, this role designs and maintains social media platforms, creates compelling graphics, conducts market research, optimizes website content, and implements effective SEO strategies. This role ensures consistent, accurate, and proactive support for the CEO and the management team.
Responsibilities
Administrative
  • Develop project proposals in support of new and expansion Business Development efforts in collaboration with CEO/Managers. Create and provide responses to Requests for Proposals (RFPs), quotes, and information requests.
  • Oversee project accounting, maintaining transparent and detailed financial records. Regularly share reports with managers, offering insights into expenditures and remaining balances.
  • Manage payments, invoices, purchase orders, and proposal status in collaboration with company accountant and client purchasing teams.
  • Develop and maintain procedures for FDA establishment registrations, product listings, and device listings ensuring regulatory compliance.
  • Stay updated on current Good Manufacturing Practices and other regulatory processes.
  • Monitor team progress, curate work plans, schedules, and funding status, and prepare detailed project tracking sheets and timesheets for client managers and purchasing team.
  • Conduct thorough research to create client, prospect, industry, and competitor profiles.
  • Compose, organize, and manage various documents, including resumes, proposals, offer letters, service agreements, contracts, organizational charts, and employee directories.
  • Document client and employee interactions, update systems and spreadsheets and address inquiries and complaints.
  • Develop and maintain internal policies, procedures, and workflows, including manuals, confidentiality agreements, and onboarding and exit processes.
  • Collaborate with the CEO and managers to develop internal communications and foster company culture.
  • Maintain meticulously organized archives, ensuring swift retrieval of essential company records using document management software.
  • Perform any other tasks/duties as assigned by Management.

Marketing
  • Cultivate and maintain the company's corporate image and identity, including the use of logos and signage.
  • Ideate and design visually compelling graphics, illustrations, and images for digital media, including website pages, social media posts, videos, articles, and more.
  • Support the development of engaging and high-quality marketing content across various platforms, including social media, website, emails, and other marketing channels.
  • Utilize content management systems for web re-design and enhance user experience and functionality.
  • Conduct comprehensive market research and leverage data to support strategic marketing initiatives.
  • Optimize website structure, navigation, and internal linking to improve user experience and search engine crawlability.
  • Conduct thorough keyword research to identify high-impact SEO opportunities.
  • Implement SEO best practices throughout website content, including meta tags, meta descriptions, and header tags, to boost organic visibility.
  • Monitor and analyze website performance metrics, such as organic traffic, keyword rankings, and conversion rates. Generate social media reports on SEO performance, content engagement, and website traffic to Management.
  • Develop sales pitch decks and presentations to showcase compelling narratives to potential clients.
  • Manage content calendars, ensuring timely delivery of marketing materials.
  • Evaluate advertising and promotion programs for alignment with public relations efforts.
  • Plan, direct, or coordinate activities designed to create or maintain a favorable public image or raise issue awareness for the organization.
Requirements
  • Bachelor's degree in Business Administration, Graphic Design, Marketing, or related field.
  • Minimum 2 years of administrative and Marketing experience.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Visio, Project, Teams, Outlook) and graphic design/video editing tools (Adobe Creative Suite, specifically Adobe InDesign, Illustrator and Photoshop, Canva, Venngage, Biteable).
  • Expertise in Content Management Systems (WordPress) and SEO Tools (Google Analytics, Google Search Console, Yoast SEO, Moz).
  • Understanding of USA regulatory processes is a plus.
  • Knowledge of ClickTime and SharePoint/OneDrive is a plus, willingness to learn new software programs a necessity.
  • Ability to thrive in fast-paced environments, demonstrating superior time management and organizational skills.
  • Detail-oriented, with a dedication to completing projects independently and efficiently.
  • Ability to analyze and revise operating practices to enhance efficiency.
