Position Description:
The Billing Specialist is responsible for the accurate and timely preparation of customer invoices in compliance with contractual agreements. This role focuses on ensuring that progress billings, change orders, and compliance documents are submitted accurately and on schedule to our customers. Billing Specialists at Enerfab are essential in addressing billing issues, customer inquiries, and the overall management of project billings to facilitate timely reimbursements. This position works closely with the Billing Supervisor to facilitate the collection of payments on outstanding receivables and provides excellent customer service to both internal and external customers.
Key Responsibilities:
Project Billing:
- Accurately set up projects in TPM by reviewing contracts for billing requirements.
- Prepare monthly project billings and submit them to the Project Manager for review and approval.
- Investigate and resolve billing discrepancies as directed by the Project Manager.
- Prepare conditional and unconditional lien waivers for customer billings and collect final waivers from vendors.
- Ensure that all compliance documents required for billing purposes are current.
- Coordinate with the Project Manager for any revised billings and make necessary adjustments to invoices.
- Maintain proper job files to provide support for job audits.
- Perform other duties and responsibilities as assigned by the Billing Supervisor.
Collections:
- Monitor the Accounts Receivable report and support the collection of payments on outstanding invoices.
- Communicate with the Project Coordinator, Project Manager, and customers regarding the status of payments and update the AR Report.
Qualifications:
- Education: High School Diploma or GED required. College degree preferred.
- Minimum of one year of experience in billing or a related field.
- High attention to detail and strong organizational skills.
- Proficiency in using billing and accounting software.
- Effective communication and interpersonal skills.
- Ability to work both independently and as part of a team.
- Basic understanding of billing processes and compliance with relevant regulations.

WORK ENVIRONMENT AND EXPECTATIONS
- Job duties are performed mainly within an established office environment under normal lighting and climate-controlled tolerances. The noise level in the work environment is usually low to moderate.
- Requires a consistent physical presence at the office to oversee shared services functions and employees, normally achieved by working standard business hours. Certain positions will require a flexibility of working hours to meet the demands of the job and the direction of the manager.
