Position Purpose (Mission)
Serve as the initial point of contact with patients, referring physicians, and the general public on the Center’s behalf. Includes, but is not limited to: welcoming all persons into the Center, makes patients and all visitors feel comfortable, anticipate and attend to the needs of our patients. This position includes answering telephone, routing incoming calls to appropriate party, scheduling patient appointments, and completing the insurance pre-certification process. This position will also provide interpretive services as needed.
Responsibilities, Duties, Functions, Tasks (Outcomes)
- Meet and greet:
- Ensure that incoming patients, physicians and the general public are welcomed to the Center in a warm and professional manner, in accordance with MedQuest best practices.
- Check patients in for their appointments, securing the necessary paperwork.
- Answer patient’s questions; provide comfort zone for patients in preparation for scheduled procedure.
- Confirm patients’ appointments daily.
- Resolves most questions and problems and refers only the most complex issues to higher levels.
- Serve as the Center facilitator:
- Communicate with the technical staff regarding patient flow, addressing needs and keeping patient informed.
- Communicate as needed with the Central Billing Office with regard to patient information and challenges concerning the collection of patient responsible amounts.
- Ensure that each patient leaves our Center having had a positive experience.
- Collect assigned goal of gross fees at the time of service (Center specific)
- Know the amount the patient is responsible for and collect money without adversely affecting customer service.
- Know and understand patient payment options.
- Manage forms, information, and physical environment:
- Maintain all forms used in the front office, keeping supplies available and replenishing them as needed.
- Prepare and maintain patient document batch work daily.
- Fax reports to referring physicians daily as requested.
- Contact insurance companies daily to verify patient eligibility and obtain pre-certification as needed.
- Respond to requests for medical records and process accordingly.
- Process all correspondence within twenty-four hours of receipt.
- Ensure that front office and reception area are clean and tidy at all times.
- Responsible for making sure the flow of the front office area is smooth.
- Informs the Front Office Supervisor, Office Manager or Center Manager if any issues arise.
- Meet/exceed MedQuest Best Customer Service Standards:
- Handle the patient arrival and registration with a friendly smile.
- Manage the patient’s waiting period.
- Handle the patient’s exit from the Center with kindness and professionalism.
- Other:
- Assist in other areas of the office as time permits.
- Complete special projects in support of the Front Desk Supervisor/Office Manager and Center Manager, as requested.
- Act as preceptor for new team members.
- Use bilingual language skills to communicate with and interpret for others in the certified language as needed.
- Other duties as assigned.
Requirements
Education:
- High School Diploma or GED required
- Undergraduate degree preferred
Prior Experience:
- Minimum of 2 years of experience as a Patient Coordinator
Special Qualifications:
- Fully trained in all aspects of front office duties
- Customer service background
- Bilingual in English and Spanish* - *Must demonstrate proficiency by successfully passing the Interpreter Readiness Assessment
