A Brief Overview
Reporting to the Hunt Companies, Inc. (the "Company") General Counsel and to the Board, the Assistant Secretary is responsible for planning and preparing all aspects of the Company's quarterly Board of Directors meetings.
** Position is Part-Time working up to 20hrs a week (no benefits) **
What you will do
- Schedules and plans all aspects of the Company’s Quarterly meetings of its Board of Directors, generally held in El Paso, Texas; New York, NY; Miami, Florida; Denver, Colorado; and other locations occasionally on a case by case basis/as directed.
- Books hotel group contracts, with attention to details.
- Books meeting space if outside of Hunt offices.
- Books all food vendors for a variety of meals, including a larger group cocktail reception and dinner for each trip.
- Books transportation to meals and events, as needed.
- Schedules Quarterly board meetings, as well as interim CEO update calls and a variety of Board Committee calls and meetings.
- Exercises a high level of attention to details to accommodate schedules for CEO, all board members, and management.
- Coordinates and oversees IT for Board and Committee meetings and calls.
- May bring an IT employee to meetings outside of El Paso, but this role should oversee the IT professional and be the first line of contact from Board members to IT when problems arise.
Qualifications
- High School Diploma or GED Required
- Bachelor's Degree Preferred
- 1-3 years experience planning meetings or events Required
- Must have excellent attention to detail and the ability to juggle multiple requests at once.
- Time management and organizational skills.
- Ability to work independently.
- Verbal and written communication skills.
- Ability to deal effectively with a diversity of individuals at all organization levels
- Must be a self-starter. Resolve problems independently.
- Proven ability to handle confidential information with discretion.
- Must be trustworthy with private information both at the Company level and executive/board individual level, as this role includes managing personal hotel requirements and transportation logistics.
- Must be customer service oriented, patient, and professional, as there are often multiple individuals who will need assistance with anything from help with IT, to rides to the airport, to a change in the temperature of the meeting space, or other similar specific accommodations.
- Managing one's own time and the time of others.
- Must be highly organized, an independent worker/self-starter, and have a pleasant temperament.
- Up to 10% travel
Compensation
We are committed to offering competitive and equitable compensation. The hiring range for this position is generally between $34,996 - $51,000 off a part time basis, exclusive of fringe benefits or potential bonuses. This position is also eligible for a performance bonus. Final salaries will be determined based on factors such as geographic location, skills, education, licenses, certifications, and/or experience. In addition to these factors – we believe in the importance of pay equity. Please keep in mind that the range mentioned above is the general Hiring Range for the role. Hiring at the top of the range is reserved for exceptionally qualified candidates. We consider internal and external factors as a part of every final offer. We also offer a generous total compensation and benefits package.
