Position: Assistant Property Manager

Reports to: Facilities Director

Location: Boccardo Family Living Center

Type: Full Time/Exempt


HomeFirst is the owner of affordable housing communities, Bridge, Emergency, and Interim Housing in Santa Clara County. The HomeFirst Assistant Property Manager is responsible for the lease-up and operations of affordable housing communities for low-income families, individuals with special needs, veterans and chronically homeless.


HomeFirst owned properties include a 56-unit complex in Santa Clara, 10-unit complex in downtown San Jose, 10-unit complex in South San Jose and a 26-unit complex in San Martin. In addition, HomeFirst operates several interim housing complexes throughout Santa Clara County and the Property Manager may have to assist in managing these complexes.


Assistant Property Manager is responsible for implementation of policies, procedures and programs that ensure a well-managed, well-maintained building and ensures compliance with all applicable regulatory agencies and federal, state, and local laws.

Assistant Property Managers are skilled professionals who assist the HomeFirst Property Manager in providing excellent customer service to current and prospective residents.

This position is located in San Martin, California but will require traveling to other sites within San Jose.

Their responsibilities include:

  • Lease Up of Rental Properties - meet with prospective tenants to show properties and explain terms of occupancy.
  • Property Management – Assist Property Manager with renting, retention, and renewals to attain goal of 100% occupancy for assigned property
  • Assist with collecting rent, bank deposits, preparing and submitting rent rolls and income verification.
  • Service Operations - Provide outstanding customer service to residents and prospective residents to support the property standards, reputation, and growth of our business
  • Team Participation – Meet in daily huddles with site’s office and maintenance coworkers to review priorities for the property, report on daily progress, and plan future work
  • Community Maintenance –Walk grounds and inspect units daily to note or perform tasks needed to assure property is well-maintained and appealing to residents and visitors
  • Business Administration - Work with the Property Manager at assigned sites and HomeFirst corporate office staff to assure effective and efficient Company-wide operations
  • Ensures consistent application of property rules and regulations, lease documents and report all lease violations.
  • Process, complete and maintain accurate resident files at move-in and at each recertification within established regulatory guidelines.
  • Ensure resident selection program compliance-HUD, TCAC, AHF, PBV etc.
  • Schedule move-ins and prepare lease agreements and other related documents.
  • Prepares daily, weekly, and monthly reports as assigned.
  • Answer telephone, maintain files and prepare correspondence.
  • Process resident program re-certifications and renewals in a timely manner.
  • Any additional administrative, compliance, marketing and lease-up duties assigned.
  • Complete work orders and turnover of vacant units in a timely manner.

Job Requirements:

  • Two years of successful Affordable Housing Property Management
  • Knowledge of HUD, TCAC, DFEH and ADA Guidelines
  • Working knowledge of FEHA, leasing, residential services, and property office administrative tasks and operations
  • HS education or equivalent required, some college preferred
  • Expertise in marketing research, promotions, and leasing activities
  • Proven customer focus and expert service to work well with a diverse population
  • Demonstrated digital and data entry skills; MS office required and Yardi, One-Site and/or similar property management software experience preferred
  • Ability to contribute to teamwork among office and maintenance coworkers and skills to cultivate staff co-operation, customer service and productivity
  • Willingness to work weekends
  • Valid California Driver’s License
  • Languages: Bilingual a plus.

Additional requirements for Affordable Housing communities:

  • Must have experience in affordable housing programs including but not limited to: LIHTC, HUD programs (Project Based Section 8, Section 236, PRAC, 811 PRA), USDA-Rural Development (515), HCD, HOME Funds and Bonds.
