ASSISTANT PROJECT MANAGER

Job Summary:

We have an immediate opening for a well-organized Assistant Project Manager (APM) with a demonstrated customer service background. This position will allow a customer service professional to gain hands-on experience in project management and an opportunity to further expand their skills. The position will work primarily remotely. However, we are looking for applicants from MA, RI and NH, only.

Position Summary:

Our firm manages over 900 part time contractors who perform work for the Social Security Administration. An Assistant Project Manager is responsible for working with SSA offices across the country and overseeing the onboarding, scheduling, communications, and review of invoices of the contractors. The Assistant Project Managers also serve as the liaison between the contractors and SSA offices.

Reporting to a Project Manager, the Assistant Project Manager will need to be extremely well organized, able to work with multiple stakeholders, and able to work directly with the SSA Hearing Office management and staff members, as well as contractors. The APM will work under tight deadlines in a high-volume environment, building rapport with Social Security staff and contractors by phone and email, as well as exhibiting excellent attention to detail and a familiarity with manipulating data and understanding the impact of program metrics. To ensure success, the APM needs to have demonstrated interpersonal and organizational skills, the ability to multi-task, an exemplary phone manner, and a desire to provide a high level of satisfaction for client and staff.

Key Responsibilities include but are not limited to the following:

  • Manage the scheduling of contractors
  • Upload new schedules and update existing schedules with changes as they are received
  • Adhere to existing procedures and processes to ensure the highest possible coverage of assignments
  • Maintain active daily communications, both by phone and email, between contractors and the SSA offices
  • Work with and support the Project Manager to uphold all contractual requirements with the Social Security Administration
  • Help maintain annual compliance requirements and documentation
  • Perform quality control on daily receipts of service performed
  • Perform quality control on SSA hearing outcomes for invoicing purposes
  • Systems management of candidate and subcontractor database – updating and inputting data, providing suggestions to improving tracking and workflow

Qualifications:

  • Bachelor’s degree preferred (relevant experience may be considered in lieu of a BA)
  • Proficient with Microsoft Office Suite
  • Minimum of 2 years of demonstrated Customer Service and administrative responsibility (e.g., call center, customer support)
  • Be able to work cross functionally with other project management teams
  • Extremely detail-oriented and well-organized
  • Able to accurately resolve issues in timely manner
  • Ability to take initiative, work independently, and meet strict deadlines
  • Strong communication and customer service skills required (oral and written)
  • Previous staff scheduling experience a plus
  • Excellent typing skills
