PROJECT MANAGEMENT ADMINISTRATIVE ASSISTANT – ELECTRICAL SUBCONTRACTOR
Tocco Corp - a local commercial electrical subcontractor north of Boston is looking for an Operations Admin Assistant to assist with various project tasks.
The successful candidate must:
- Be highly organized,
- Understand that attention to detail and accuracy are vital to success in this role,
- Be technologically proficient ( Word , Excel etc..)
- Purchasing Needs:
- Prepare project packages for purchase
- Verify BOM for purchase
- Submittal Procurement and Tracking
- Material Shipping / Back Order Vendor Follow Up
- Fully process all Materials Submittals
- Complete job permitting process
- Prepare project books
- Assist in change order preparation
- Budget entry
- Change orders and requests
- Certificates of Insurance (C.O.I.s)
Change orders
- Receive cost / description for contract change orders from Project Manager and draft letter on the standard format proposal. Send out for acceptance after Project Manager approval.
- Update change order log per project.
- Request / receive change orders from contractors & update log.
- Distribute approved scope to all foremen.
Close out documentation
- Request O &M manuals for all equipment provided vendors.
- Make hard copies and distribute to contractors
- Send out electronically to contractors
- Send out as-builts
- Send out warranty letters
- Reconcile change orders against log.
