Position Focus:
Reporting to the Director of Proposal and Award Management in the Office of Sponsored Projects, the OSP Assistant Director position has primary responsibility for the overall daily operations of the proposal team, overseeing the workflow to ensure timely review and submission of federal and non-federal research proposals from across the University, and ensuring that the team is trained on current procedures and university business practices. The successful candidate for this position will provide leadership to a fast-paced team, provide high-level assistance to departmental staff and investigators to ensure adherence to sponsor and University policy and serve as subject matter expert and liaison for the Integrated Research Enterprise Solution (IRES) system. The role has delegated signature authority for official documents related to grant and contract proposal submissions. The role will also support the continuous and ongoing improvement initiatives associated the functions of the proposal team as well as the Proposal Development (PD) module of Integrated Research Enterprise Solution (IRES). The Assistant Director will also participate in the development and implementation of training modules and communication of sponsored projects activities to research community.
Essential Duties
1. Manages and leads research on various federal rules and regulations as well as University policies and procedures to resolve problems and determine the best course of action for the functional area. 2. Recommends course of action to higher authority for the handling and disposition of problems related to the functional area. 3. Counsel’s faculty, students and staff on issues related to administrative operations of the University function and areas of concern for the function. 4. Manages statistical and analytical information regarding office activities and areas of operational and administrative concern for the function. 5. Leads in long-range planning for the office activities of a specific functional area. 6. Interprets and administers various University and federal policies and regulations. 7. Disseminates accurate and up-to-date information regarding areas of concern. 8. Formulates and establishes policies regarding area’s function. 9. Manages a staff of exempt and non-exempt employees. 10. May perform other duties as assigned.
Required Education and Experience
Minimum requirement of Bachelor’s Degree in related field and three years of experience or an equivalent combination of education and related experience.
Required Skill/Ability 1:
Ability to work well under pressure, handle a complex array of inquiries in an intensive, deadline-driven environment and effectively manage a team.
Required Skill/Ability 2:
Possess in-depth knowledge of federal, state and sponsor regulations and guidelines pertaining to the contract and grant administration and extensive knowledge of grant and/or contract methods and procedures.
Required Skill/Ability 3:
Excellent communication skills, both verbal and written, with the ability to deal with all levels of personnel within the University with professionalism and courtesy.
Required Skill/Ability 4:
Outstanding organizational skills, exceptional attention to detail, well-developed analytical and problem-solving skills, demonstrated superior customer service abilities and outstanding time management skills.
Required Skill/Ability 5:
Strong knowledge of accounting principles and ability to apply these principles to sponsored projects.
Preferred Education, Experience and Skills:
Thorough working knowledge of PC-based tools including Microsoft Office Suite, database administration and other related software. Familiarity with electronic proposal systems. Knowledge of grant and contract process from proposal development through award closeout. Prior supervisory experience preferred.
