Job Summary
The Assistant Director for CEM assists in the direction of establishing and maintaining industry and Division conferences. The AD works to develop new events based on industry needs and to maintain and grow current long-standing conferences. This position maintains the day-to-day operations of CEM and ensures events are executed as planned. This position supervises 1 Manager, 2 Coordinators, vendors (as needed), and work studies.
Essential Duties and Responsibilities
  • Assist in directing, managing, and supervising CEM staff and the day-to-day operations of planning and executing conferences, events, and programs.
  • Collaborate with various industries, Division and University resources to ensure successful execution of programs.
  • Manage execution of in-person and virtual events. Identify high level event audio visual needs.
  • Assist with direction of production of promotional materials for events.
  • Identify, hire and manage appropriate staff, vendors, volunteers, SMEs and/or consultants to support events.
  • Lead Conference and Event sponsorship development and related activities.
  • Source exhibitors and other event funding as needed.
  • Establish and maintain conference advisory boards made up of industry partners, subject matter experts, and regulatory officials.
  • Develop business opportunities to ensure continued growth of the CEM business unit.
  • Seek and respond to RFPs and create proposal for contract work when necessary.
  • Responsible for establishing, negotiating, and maintaining vendor contracts as appropriate and in compliance with university standards.
  • Develop and maintain event budgets and ensure conferences are financially sustainable.
  • Create and maintain appropriate financial measurements.
  • Maintain fiscal solvency of the business unit.
  • Support the Division leadership in other duties as assigned.

Required Qualifications
  • Bachelors degree from accredited four(4)-year college or university with five (5) plus years in higher education Conference and Event planning industry or equivalent relevant experience.
  • Valid drivers licenses.

Preferred Qualifications
  • Two (2) or more years experience with conference software such CVENT.
  • Two (2) or more years experience executing virtual events.

Knowledge, Skills and Abilities
  • Solid working knowledge of Microsoft Word, Excel, and Teams; management principles; databases and data entry; and ability to learn and implement other software, as necessary.
  • Organized with attention to details.
  • Analyze situations accurately and recommend effective courses of action.
  • Attend meetings and make oral presentations.
  • Communicate effective both orally and in writing.
  • Develop and maintain budgets.
  • Develop schedules and meet timelines.
  • Perform visual activities requiring prolonged attention to detail such as editing and proofreading.
  • Ability to hear and understand speech to interact with coworkers/clients/customers on a routine or frequent basis with use of amplifying equipment/hearing aids if needed.
  • Ability to provide own means of some of the travel that is required.
