Candidates selected for this position will serve as an ASSET PROTECTION ADMINISTRATIVE ASSISTANT. Major Duties Provides administrative and clerical support to program office. Operates a personal computer (PC) and peripheral equipment to produce a variety of civilian and military correspondence, spreadsheets, charts, reports and graphs, using a wide variety of software programs.
Enters data, produces a variety of correspondence, reports and recaps. Processes invoices using accounting software programs, corresponds with the finance department, maintains invoice tracking tools and produces invoice reports, spreadsheets, etc. Follows all operating procedures, requirements and limitations to use a government purchase credit card for purchases and payments in addition to reconciling the monthly statement and maintaining a purchase tracker.
Screens incoming telephone calls, determines which can be answered and which must be referred. Arrange meetings, including space and time, and notifies attendees. Prepares detailed summary reports for meetings.
Establishes and maintains subject matter files and records. Types complex correspondence such as statistical reports, budget spreadsheets, financial statements, directives from handwritten drafts or oral instructions in accordance with available guidelines and instructions by utilizing a personal computer. Responsible for correct spelling, punctuation and proofreading of typed materials.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and vendors and communicates positively in a friendly manner. Takes action to solve problems quickly.
Alerts the higher-level supervisor, or proper point-of-contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. This is a white-collar position where occasional lifting of up to 20 lbs.
