Description:
- As a medical office Appointment Scheduler, your primary responsibility is to efficiently schedule and coordinate patient appointments, ensuring optimal utilization of healthcare professionals' time and providing excellent customer service.
- You will be the point of contact for patients, gathering necessary information, and scheduling appointments in accordance with established protocols.
- Your ability to manage schedules, communicate effectively, and provide accurate information will contribute to the smooth functioning of the medical office.
Appointment Scheduling:
- Answer phone calls and inquiries from patients, referring physicians, and other stakeholders to schedule appointments.
- Gather necessary patient information, including demographic details, medical history, and insurance information.
- Schedule appointments using the designated scheduling software or system, ensuring accurate entry of details.
- Coordinate appointments based on healthcare professionals' availability, patient preferences, and urgency of medical conditions.
- Provide patients with appointment reminders and instructions as needed.
- Interact with patients in a professional, courteous, and empathetic manner to address their appointment-related needs and concerns.
- Communicate with healthcare professionals, referring physicians, and other staff members to ensure appropriate scheduling and coordination.
- Answer general inquiries about the medical office's services, procedures, and policies.
- Collaborate with other office staff to facilitate seamless patient flow and minimize scheduling conflicts or delays.
- Schedule follow-up appointments and consultations based on healthcare professionals' recommendations.
- Monitor and manage the appointment calendar, making necessary adjustments, cancellations, or rescheduling as required.
- Work closely with billing department, and other staff to ensure accurate documentation and billing information for each appointment.
- Accurately input and update patient information and appointment details in the electronic health record (EHR) system.
- Maintain organized and up-to-date appointment records, ensuring they are easily accessible and confidential.
- Prepare and distribute appointment schedules, reports, and other relevant documents as needed.
- High school diploma or equivalent (additional education or certification in medical office administration is a plus).
- Proven experience in a customer service or administrative role, preferably in a medical or healthcare setting.
- Familiarity with medical terminology, procedures, and appointment scheduling systems.
- Excellent communication skills, both verbal and written.
- Strong organizational and time management abilities.
- Attention to detail and accuracy in data entry and record-keeping.
- Proficient in using computer systems and software for appointment scheduling and electronic health records.
- Empathy and the ability to remain calm and professional while handling patient inquiries or concerns.
- Ability to work collaboratively with healthcare professionals, staff members, and external stakeholders.
- Flexible and adaptable to changing schedules or priorities.
- Knowledge of medical billing and insurance processes is desirable.
