Founded over 80 years ago, the Wheaton Eye Clinic is a nationally recognized multi-subspecialty ophthalmology practice that spans the western suburbs of Chicago and is the largest independent ophthalmology clinic in the Midwest. Our offices are located in Wheaton, Naperville, Hinsdale, Saint Charles, Bartlett, and Plainfield and an ophthalmology-specific ambulatory surgery center at the main office in Wheaton. We currently have 34 ophthalmologists and 6 optometrists in every ophthalmic subspecialty are highly respected in the region and have superb relationships with referring colleagues and health systems. Patients travel to Wheaton Eye Clinic from throughout Northern Illinois, as well as from across the United States. Our referring physicians locally, across the United States, and from many international countries, send their patients to Wheaton Eye Clinic because of its unwavering reputation for exceptional patient care. Job Summary:
The Appointment Scheduler is responsible for the accuracy and completeness of patient registration including insurance information and coverage. The Registrar reviews, verifies and updates individual insurance policies to ensure policies are active and billing requirements are being met for claim accuracy and reimbursement. THIS IS NOT A REMOTE ROLE. Hours are Monday, Tuesday and Friday from 8am-5pm, Wednesday and Thursday 9:30am - 6:30pm (1-2 times a week) and 2 Saturday's a month from 7:30am - 12pm.
Duties/Responsibilities:
- Complete patient registration.
- Register and verify insurance.
- Interact with patients and their representatives to proactively collect all required demographic and insurance data necessary to facilitate patient check in and registration at point of service.
- Ensure financial protocols and requirements are met.
- Ensure all designated provider workques are completed at least 2 business days ahead of appointments.
- Utilize online payer resources.
- Identify and resolve registration errors.
- Research and follows up on insurance eligibility problems.
- Update insurance information and system notes regarding eligibility.
- Handle all insurance eligibility-related patient inquiries, problems and concerns in accordance with Wheaton Eye objectives and goals.
- Prompt follow up with eligibility issues to ensure charges go out in a timely manner for payment.
- Work with providers and staff to ensure eligibility issues are addressed.
- Comply with all company policies, procedures.
- Follow all HIPAA and Wheaton Eye Clinic guidelines regarding patient privacy.
- Must meet attendance requirements as outlined in current Wheaton Eye Clinic policy.
- Perform additional duties as required by manager/supervisor.

Education and Experience:
- High School Diploma or Equivalent.
- Epic experience preferred.
- Have experience working and updating patient registration, insurance verification/eligibility and knowledge of PPO, HMO, Governmental insurance plans, preferred.
Software / Computer Skills:
- Ability to learn clinic specific software, EMR system (Epic).
- Ability to use and operate electronic office equipment including but not limited to computer, keyboard, mouse, fax machine, telephone, copier.
- Proficiency in PC applications as required such as Microsoft Office suite, email communication.
Physical Requirements / Environmental Conditions:
- Extended periods sitting at a desk and working on a computer.
- Frequently required to talk or hear and effectively communicate with others.
- Frequently required to stand, walk, use hands to finger, handle, or feel, reach with hands and arms, stoop, kneel, crouch.
- Vision abilities required by this job include close vision, and color vision, focus.
