Job Description Summary
Under general supervision, performs duties in student admissions, registration, and Records maintenance.
Duties & Responsibilities

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions required for the position.• Supports the Admissions and Records area in a variety of duties including data entry, customer service, and telephone support.
• Assists students by providing accurate information regarding registration, graduation, and transcript requests.
• Assists in the distribution and collection of forms, including petitions for degrees and certificates, credit by examination, and transcripts, etc.
• Process official transcript requests.
• Packages official transcripts.
• Logs and reconciles payments for official transcripts.
• Supports and provides relief for campus staff at each of the four colleges.
• Maintains filing system for incoming transcripts.
• Verifies student attendance.
• Operates a variety of modern office equipment.
• Performs other related duties as required
Minimum Qualifications
l. One (l) year of experience in student registration, Admissions and Records maintenance or an equivalent combination of training and qualifying experience that could likely provide the desired knowledge, skills and abilities to perforn1 the duties of the positions.
2. Knowledge and proficiency in the operation and use of personal computers utilizing word processing, spreadsheet and database management software programs (e.g., MS Office Suite, MS Word, Excel, Access and PowerPoint, etc.) and the Internet browser, web sites and e-mail.
3. Ability to type accurately from clear copy. A word processing and/or spreadsheet skills assessment may be given.
4. Understanding of; sensitivity to and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of Peralta Colleges' students, faculty, staff and community.

Note: A written evaluation by an official foreign credentials/transcripts evaluation and translation service must be submitted for Foreign Degree(s) (non-U.S. degrees) by the application deadline date.

Appointment to the position is conditional upon the approval of the Chancellor.
CONDITIONS OF EMPLOYMENT
Employees must satisfy all pre-employment requirements to work for the District which include, but are not limited to, the following items:
REQUIRED FOR ALL EMPLOYEES
PCCD COVID-19 Vaccination Requirement Policy:
  1. Covered Individuals

All District employees are required, as a pre-condition and condition of employment, to furnish to Human Resources proof of full COVID-19 vaccination (as defined by the Center for Disease Control (CDC). All other covered individuals are also required to provide the same proof of vaccination as required by employees.
  1. Acceptable proof of COVID-19 vaccination consists of:
  2. A dated copy of the individual's CDC COVID-19 Vaccination Record Card.
  3. A dated and signed letter from the individual's licensed care giver.
  4. Copy of the official Personal Digital COVID-19 Vaccine Record from the California Department of Public Health

Proof of vaccination shall be provided no later than October 7, 2021.
Covered individuals who received approved declination/exemption pursuant to section (II) below must abide by masking and weekly COVID-19 testing requirements described in section (III).
  1. COVID-19 Vaccination Declination

Covered individuals are allowed to decline COVID-19 vaccination for: (a) medical, (b) disability, and © religious grounds. Employees may also receive a deferral based on pregnancy. Employees declining to show proof of COVID-19 vaccination must provide the approved PCCD COVID-19 Vaccination Declination Form to Human Resources.1 PCCD retains the right to require documentation substantiating eligibility for declinations.
A covered individual with approved declination/exemption or deferral from vaccination shall abide by masking and weekly COVID-19 testing requirements described in section (III) below.
  1. Masking and COVID-19 Testing

Covered individuals must at all times while on PCCD-controlled property wear face masks that fully cover both mouths and noses in accordance with mandates by the State of California and/or Alameda County and the District's COVID-19 Prevention Plan.
Also, covered individuals with approved exemptions must provide weekly proof of a negative COVID-19 Test to the District Administration. Covered individuals with approved exemptions and who fail to comply with the PCCD masking and testing requirement are subject to corrective action by the District, including disciplinary action consistent with applicable employee collective bargaining agreements or student standards of conduct. District Administration will provide weekly lists to the responsible District manager of individuals who must provide proof of weekly testing.
  1. Acceptable proof of negative COVID-19 testing consists of:
  2. A dated copy of negative COVID-19 test results.2

or
  1. A dated and signed letter from the employee's licensed caregiver.

1 Employee receiving a deferral must provide proof of COVID-19 vaccination at the time of their return to work from maternity leave or submit a COVID-19 Declination Form and comply with the mandatory masking and testing protocols.
2 Employees receiving a POSITIVE COVID-19 test will not be allowed to report to work on any PCCD-controlled property, must follow CDC quarantine guidelines, and be followed by a Certified PCCD COVID-19 Contact Tracer.
Tuberculosis Examination: Prior to employment, the successful candidate will be required to submit evidence (either skin test or X-ray report) of being free of tuberculosis within the past sixty (60) days. The TB test is a condition of employment and any expense must be borne by the successful candidate.
Fingerprinting Requirement:
As a condition of employment, all employees working for community colleges in the State of California are required to be fingerprinted within the first ten (10) working days of the date of employment pursuant to Education Code Section 88024. The District Office of Human Resources processes fingerprints electronically. During the employment intake process, new employees will be given information to have their fingerprints taken at another location.
Immigration Requirement: According to the Immigration Reform and Control Act, the Peralta Community College District is required to verify that all new employees are:
1) A citizen or national of the United States;
2) An alien lawfully admitted for permanent residence in the United States; or
3) An alien authorized by the U.S. Citizenship and Immigration Service to work in the United States.
All new employees are required to complete and sign a verification form and provide documentation attesting that he/she is a United States citizen, national, or an alien lawfully authorized to work in the United States.
District Policy: A Social Security Card will be required following selection and prior to completion of the hiring process. The employment process cannot be completed without a copy of the Social Security Card on file in the Office of Human Resources.
