About the Job
Tailored Customer Solutions (TCS) is looking for an organized Administrative Support Representative II to assist with day-to-day operations of our customer facing teams. This role will provide Administrative Support to the Telecommunications, Digital Communications and Operations departments by coordinating daily clerical tasks, scheduling daily staffing needs, and providing reporting as needed. This role reports to the Director, TCS Operations.
What You’ll Do | Key Accountabilities
· Prepare daily departmental reports for distribution, highlighting any variances that might be impactful to daily business.
· Review and edit the department’s daily schedule to gain maximum occupancy, this includes scheduling coaching and development sessions, floor coverage and department huddles.
· Audit, prepare and log weekly treasury checks, this includes logging checks that are returned in daily mail.
· Organize workforce management initiatives and support requests within Workforce Management platform.
· Analyze and monitor real time adherence of scheduling conditions and data to effectively gauge service levels, as well as provide discrepancy reporting to management.
· Monitor and report on the call-in attendance line.
· Manage department email inbox, responding in a timely manner and escalating emails as needed.
· Frequently work with confidential information, exercising discretion with all tasks.
· Perform other administrative duties as assigned.
Skills, Abilities, Experience & Qualifications
· High School diploma or equivalent required
· Excellent interpersonal, written, and verbal communication skills, with the ability to effectively communicate with individuals at all levels within the organization.
· Proficient with Microsoft Office 365 and CRM systems.
· Must be able to demonstrate impeccable follow-through and follow directions.
· Ability to work well under pressure in a fast-paced and deadline-oriented environment.
· Demonstrated collaborative skills and ability to work well within a team.
· Strong analytical, prioritization, and problem-solving abilities
Work Environment, Physical & Mental Demands:
· Ability to sit and work at a computer keyboard for extended periods of time.
· Ability to stoop, kneel, bend at the waist, and reach on a daily basis
· Able to lift and move up to 25 pounds occasionally.
· Must utilize visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer and office equipment.
· Regular and on-time attendance.
· This position is a hybrid position, based in the Houston office location and will be required to be in office a minimum of three days a week.
