JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Graduate School seeks an experienced administrative professional to serve as an Administrative Support Assistant(Level 3) in the Office of Graduate Educational Equity Programs (OGEEP).
Responsibilities:
  • Serve as first-line liaison with internal and external contacts through in-person, telephone, and email/other electronic media.
  • Work closely with students, staff, and faculty across the University and serve as a Graduate School contact to coordinate activities with current and prospective graduate students, the College Council of Multicultural Directors, Hospitality and Housing, and Food Services staff, as well as with various businesses and organizations external to the University.
  • Overseeing the daily operations of OGEEP which include but are not limited to: general Administrative Support; maintaining and updating program information materials and website; managing office inventory and supplies; meeting logistics and preparation of meeting agendas, materials, and minutes; travel arrangements and financial reconciliations; and Administrative Support for working groups and projects that may include data research and summarization, preparation of tables/slides, benchmarking and other tasks as assigned by the Associate Dean.

The position typically supports 6-7 OGEEP staff/student workers and provides additional support to current and prospective diverse graduate students across the University and some 40-50 people from all 12 academic colleges. Additional responsibilities relative to this position include coordinating functions such as seminars, workshops, banquets, and conferences.
Education and Experience: This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. The successful candidate will be proficient in Microsoft Office, have excellent communication and organizational skills, attention to detail, and the ability to prioritize tasks and projects. Proficient knowledge of Penn State's graduate education policies/procedures is preferred but not essential.
The successful candidate must possess the capacity for analyzing processes and proposing effective solutions; must have a strong commitment to fostering diversity, equity, respect, and inclusion, be highly motivated, and exhibit a high level of professionalism. Consistently high quality and thoroughness of work are critical. Must be able to work with minimal supervision. Excellent computer skills required. This job necessitates meeting deadlines and attending events that require work after hours and on the weekends as needed.
