Hiring Salary Range $18.09 - $23.52/per hour DOE Grade 110 Work Schedule Monday - Friday, 8am - 5pm; some evenings and weekends may be required Summer Hours: Monday - Thursday, 7am-6pm This position offers remote work allowing employees a combination of onsite and work from home options. The expected remote work schedule for this position will be determinded upon hire. This role reports to GateWay's Title V Project Manager and will provide executive level administrative and secretarial support as well as assist with all aspects of Title V grants management and project coordination activities.

This position will require advanced organizational skills, attention to detail, and the ability to handle multiple projects and tasks of varying size and complexity. The selected candidate will work collaboratively with staff in all units of the college to support grant goals and activities across the institution. Essential Functions 60% - Provides advanced administrative/secretarial support to Title V Project Manager in relation to grant implementation and grant management work; specifically researches, gathers, compiles, and reviews data and information related to assigned duties; coordinates/schedules meetings; prepares meeting materials; records meeting minutes; communicates with internal and external resources regarding policy/procedural, event or program information; conducts correspondence related to assigned duties; receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resources; monitors and tracks budgets, funding, and expenditures; prepares requisitions; creates reports; coordinates travel arrangements and prepares travel authorizations; maintains public grant records 20% - Supports Title V grant communication and training; guides faculty and staff on grant-related tasks, processes, and procedures; curates, collects, and provides information to support faculty and staff as they implement Title V activities; designs and formats complex documents, composes original documents, correspondence and presentations;serves as a liaison between Title V office and college grants office.

10% - Oversees the maintenance of grant files, records, database information and documentation related to assigned area and according to established procedures. Supports development of annual performance report and archival of grant materials. 10% - Performs other related duties as assigned related to Title V grant goals, as the Title V Project Manager or Associate Vice President of Institutional Effectiveness may authorize or request.

Minimum Qualifications Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. OR High School Diploma/GED and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. Desired Qualifications Bachelor's degree Two (2) or more years' experience providing administrative support to a senior-level executive or equivalent position One (1) or more years' experience working with federal grant funded programs One (1) or more years' experience working in higher education institution One or more years' providing support for project management Demonstrated experience creating and maintaining complex spreadsheets (Excel & Google Sheets) and databases Special Working Conditions May be required to travel or be assigned to all GateWay locations May require some evenings or weekends May require prolonged periods of viewing a computer screen May be required to lift or carry up to #25 lbs MCCCD does not sponsor individuals for any type of work visas.
