This position is eligible for a hybrid (both remote and onsite) telework arrangement. Candidate's permanent residence must be in Minnesota or Wisconsin.

Metropolitan Transportation Services (MTS) conducts planning for the regional transportation system that includes highways, transit, aviation, freight, and bicycle and pedestrian connections. The Metropolitan Council is the region’s federally designated Metropolitan Planning Organization. MTS also provides direct transit service through contracts or partnerships with counties to deliver four major programs: Metro Mobility/ADA, Transit Link dial-a-ride, contracted regular-route bus service, and Metro Vanpool.

How your work would contribute to our organization and the Twin Cities region:
The Senior Administrative Specialist provides a variety of administrative support services of moderate complexity to support the MTS management team and staff. The Senior Administrative Specialist has primary responsibility for supporting the administrative needs of the Transportation Accessibility Advisory Committee (TAAC) and will occasionally field and reroute calls for contracted services managers and staff. This position will use Microsoft Office Suite (Excel, Word, Outlook, OneNote) and other programs like Application Extender to support Metro Mobility filing and fixed route customer contacts system.

What you would do in this job

  • Provide administrative support for Transportation Accessibility Advisory Committee (TAAC) meetings to include preparation of agenda and distribution, writing meeting minutes and public posting of meeting documentation on the Council’s website.
  • Provide customer service to callers and visitors following data privacy laws, answer general questions and connect callers to resources and staff as appropriate.
  • Provide administrative support in data entry, formatting documents, maintaining logs and effectively communicate via multiple applications such as Word, Excel, Outlook, Teams messaging, OneNote, and Adobe.
  • Work in a paperless environment.
  • Support department incoming and outgoing mail processing.
  • Timely preparation and processing of incoming and outgoing mail, faxes, etc., in compliance with data privacy laws. Daily operation and maintenance support of printers and scanners and organizing documents into correct shared network folders.
  • Support contracted services managers and staff by ordering equipment and supplies, processing conference registrations and other purchasing-related tasks as necessary.
  • Assist Metro Mobility with administrative tasks included, but not limited to, scanning and processing applications for filing in Application Extender software.
  • Maintain a high level of professionalism, customer service, discretion, and timeliness in responding to requests, both in-person and virtual.
  • Perform administrative duties utilizing WAM and PeopleSoft Financials to complete vendor approvals, including ordering, tracking payments and invoices complying with current procurement guidelines.
  • Other duties as assigned.

What education and experience are required for this job (minimum qualifications)

  • High school diploma or equivalent.
  • Three (3) years of prior administrative work experience, including experience with purchasing and preparation of meeting agendas, materials and minutes.
What additional skills and experience would be helpful in this job (desired qualifications):
  • Strong proficiency working with Microsoft Office and other technologies to support a work environment where staff work both remotely and from the office (MS Teams, Word, Outlook, Excel, OneNote, etc.).
  • Ability to communicate effectively both verbally and in writing.
  • Ability to perform data entry and admin tasks with a high degree of accuracy.
  • Ability to handle multiple priorities, including high call volume, in-person visitors, fax, email, etc.
  • Experience advancing and integrating the values of diversity, equity, and inclusion in the workplace.
What knowledge, skills and abilities you should have within the first six months on the job:
  • Familiarity with Contracted Transit Service programs and services enough to answer basic questions, provide resources or transfer callers to appropriate support personnel.
  • Proficiency in Mitel phone systems and use of Microsoft Teams to communicate and forward calls.
  • Proficiency in Microsoft Word, OneNote, Excel, Outlook, Adobe.
  • Ability to proficiently navigate through Application Extender software and other customer supporting software.
  • Ability to manage the high volume of communications and administrative tasks.

Anticipated Hiring Range: $25.67 - $29.16 hourly/$53,394 - $60,653 annually
