Description
The Administrative Specialist III performs a variety of administrative and technical work to support activities of the assigned department. Work involves preparing and maintaining a variety of files, databases and documents, answering telephone calls, greeting the public, and routing communications. Employee is responsible for performing general clerical duties such as preparing photocopies, processing mail, and compiling data for reports.
Examples of Duties
Performs research and compiles data for special projects, reports, or other publications; prepares correspondence ensuring completion by specified deadlines and in accordance with department's goals and objectives.
Answers phones, greets visitors, and responds to inquiries related to the county or specific department; directs visitors to correct employee or department as necessary.
Processes incoming and outgoing mail; routes mail to the proper recipient.
Establishes and maintains files and records; retrieves materials as requested; performs data entry as requested.
Maintains office supply inventories, ordering and distributing supplies as necessary.
Coordinates multiple departmental programs through scheduling, training, managing, and monitoring; oversees office management in the department without direct supervisory responsibility.
Displays and reflects the culture, mission, vision, values, and direction of the department.
Regular and punctual attendance is required.
Prepares purchase requisitions at the discretion of department supervisors including the research of items and best pricing source; matches purchase requisitions with invoices for items and services received.
Receives, authenticates, and processes accounts payable for inmate community medical surgical care disbursements through the County Auditor and County Indigent Program.
Reconciles budget reports for prisoner medical expenses and medical supplies including the use of Medicare rerate software.
Monitors expenditures to ensure availability of funds; posts expenditures to proper accounts in computer records and departmental accounting registers.
Receives and processes inmate co-pay fees for health services; communicates with inmate-patients via electronic kiosk regarding billing inquiries.
Ensures the confidentiality of protected health information in accordance with local, state, and federal guidelines.
Assists other team members as necessary.
Performs other related duties as required.
Minimum Qualifications
High School Diploma or GED and a minimum of three years of experience in a related field; or an equivalent combination of education and related experience required.
Specific certifications related to the area of assignment may be required for this position.
Must not have any Class B misdemeanor or higher convictions or deferred adjudications.
