Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 12/07/2023 through 12/13/2023 and open to external applicants thereafter.
The University of Maine Cooperative Extension's Administrative Specialist CL3 will provide administrative support to the Cumberland County office of the Cooperative Extension. This position provides customer service to the public and supports local Extension staff in Agriculture, Horticulture and other food system programs. The position will be located in the University of Maine Cooperative Extension Regional Learning Center, Cumberland County office in Falmouth. This is a full time, year round position, 40 hours per week. Work hours Monday through Friday, 8:00am to 4:30pm with a half-hour for lunch. Job Responsibilities and Duties Include:
- Provides administrative support which may include maintaining department data, organizing and maintaining files.
- Provides exemplary customer service while handling verbal and written communications with clients regarding a broad range of questions, issues and requests.
- Performs basic bookkeeping including tracking budgets, monitoring expenditures, preparing purchase orders, posting accounts for billing, depositing cash and checks, and preparing financial reports and/or other appropriate tasks.
- Oversees and tracks contracts and honoraria.
- Orders and organizes materials for courses.
- Maintains client contact databases.
- Supports client and volunteer needs and responds to questions in a timely manner.
- Serves as contact for outside vendors, agencies and organizations.
- Provides timely and accurate information in response to public requests for information.
- Updates and maintains assigned website and social media accounts.
- Develops registration pages, advertises and promotes Extension Programs.
- Serves as the primary liaison from the office to the Cumberland County Extension Association Board, including attending one evening meeting per month.
- Develops and maintains professional relationships that reflect courtesy, civility, and mutual respect.
- Utilizes coaching and mentoring methods that provide an environment that is anticipatory, supportive, and encourages constructive feedback on performance.
- Performs other reasonably related duties as assigned.

Required:
- 60 credits or more of higher education or equivalent work experience and training; and three years administrative support experience.
- Experience in office settings, performing a variety of routine to non-routine clerical and administrative support responsibilities and tasks.
- Ability to communicate effectively using oral, written and electronic methods.
- Proficiency with computer programs such as Microsoft Excel, Word and PowerPoint, as well as Google Drive and document management software.
- Ability to work independently and manage multiple tasks in an autonomous work environment as well work effectively as part of a team, and able to achieve and document measurable results.
- Demonstrated knowledge of and skills in report preparation.
- Ability to maintain moderately complex databases.
- Demonstrated computer skills including MS Word, Excel, WordPress, Social media management, Graphic design and internal database applications.
- Exemplary and timely customer service skills.
Preferred:
- Knowledge of University of Maine Cooperative Extension and its educational programs.
- Experience with UMaine's General Ledger and MaineStreet systems.
- Ability to maintain moderately complex databases.
- Experience working with diverse audiences; knowledge of diversity, equity and inclusion; and understanding of equal opportunity, affirmative action and civil rights policies.
