Performs a variety of clerical support services for the efficient operation of the Care Coordination Department. Performs and provides personal Secretarial and Support Services such as maintaining files, minutes, manual, and preparing correspondence.
- Provides secretarial/administrative coordination support to VP of Medical Affairs, Corporate Director of Care Coordination and Managers of the Care Management Department.
- Answers telephone and direct calls appropriately and/or resolve issues with patients when appropriate/maintains voicemail for Care Coordination
- Organizes and compiles Physician Advisor timesheets for Corporate Director of Care Coordination and Administrative signatures
- Organizes and compiles trauma physicians time sheets for administrative signatures and submits to finance
- Facilitates and records discharge days in LOS notebook
- Assist partners by accessing medical records for patient data reporting
- Assist department with office software/computer systems as needed
- Facilitates the Long Stay Rounds Reports and distributes to staff weekly Addresses PTO request and send to the appropriate manager
- Maintains processes associated with Mail for the department and Corporate Director Care Coordination
- Facilitates PTO requests and Laborworxx requests for employees reporting directly to Corporate Director of Care Coordination
- Facilitates and distributes Care Management Manager on-call schedules monthly
- Arranges meetings for Care Coordination, facilitating room requests, etc.
- Distributes faxes, automatic printouts and voicemail messages to appropriate individuals within Care Coordination
- Facilitates Laborworxx entries (PTO, Sick, EA, etc.)
- Files as requested for Corporate Director of Care Coordination
- Assists with distribution of Care Manager/Social Worker Daily Staffing Assignments
- Faxing for the Commercial UR staff as required/requested
- Assists with IM Notices as required and requested.
- Assists with maintenance of Indigent Fund & Finn/Quinley Spreadsheet
- Maintain Ambulance and taxi check requests and spreadsheets monthly
- Knowledgeable of hospital mission, vision, and values and performs in a manner that supports them.
- Adheres to Policy and Procedures of the Care Management Department
As Needed:
- Schedule meetings/meeting spaces/catering at the request of Managers/Director
- Schedule external partner meetings
- Agenda’s & Minutes for meetings
- Order and Maintain supplies for Care Management RMC/NMC
- Maintain the Care Management Intranet page
- Create and update forms as needed
- Prepare and send records to Chartmaxx
- Prepare PowerPoint presentations and spreadsheets as needed

- High School diploma or equivalent.
- At least one year of general secretarial experience preferred.
- Typing 30-wpm minimum.
- Working knowledge of computers and various types of software including basic skills with Excel, Word, Power Point and databases.
- Must be organized and able to establish priorities.
- Must be able to communicate effectively (both orally and in writing) with patients, physicians, vendors, co-workers and administrators; ability to meet the public with tact, courtesy and efficiency.
- Must have well defined personal skills.
- Knowledge of medical terminology helpful.
- Must be able to read, write legibly, speak, and comprehend English.
