Job Description
We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant/Dispatcher. In this position, you will play a crucial role in coordinating and managing the operations of our recycling and solid waste company. Your primary responsibility will be to ensure the efficient and timely delivery of recycling and waste collection services to commercial clients. You will be responsible for assisting a team of drivers, assigning routes, closing routes, and effectively communicating with various stakeholders to ensure smooth operations and customer satisfaction.
Duties and Responsibilities:
- Coordinate and schedule waste collection services based on customer requests and operational requirements.
- Assign routes to a team of waste collection drivers, taking into consideration factors such as geographical location, truck capacity, and service demands.
- Capture, confirm and enter employee times for payroll
- Gather and distribute Plant Production Reports
- Maintain accurate records of routes, schedules, and driver activities using electronic dispatching systems or other designated tools.
- Complete New Customer Setup for new customers being added into our system(s)
- Communicate effectively with drivers, providing necessary instructions, updates, and route changes as required.
- Respond promptly to customer inquiries, requests, and complaints, demonstrating exceptional customer service skills.
- Collaborate with other departments, such as maintenance, to ensure efficient fleet operations, timely repairs, and regular vehicle inspections.
- Proactively troubleshoots and resolves potential delivery and service issues to prevent service interruptions; reviews customer history to identify and respond to collection patterns
- Handles incoming service orders, directs drivers, and resolves service issues; closes work orders based on resolution and assures the appropriate notes and pictures are entered; initiates customer contact to resolve field issues as needed
- Oversees the crew in and crew out process of drivers; manages distribution of routes, assignments, keys, and other materials to field staff; processes or re-assigns any driver reports, requests, or other administrative needs
- Records tonnage, route completion times, and other pertinent data, utilizing computer based TRUX and ACCPAC systems
- Handle incoming calls, e-mails, and customer issues that have been received from the Customer
- Communicate Frequency and customer Request
- Review Driver's paperwork, communicate on DVIR, mediate route issues or customer problems
- Recover outstanding payments in a timely manner
- Keep accurate and detailed notes and records of account activities
- Prepare and distribute aging based reporting daily
Minimum Education and Experience:
- High School Diploma or GED.
- Bachelor's degree in Business Administration, Public Administration, Environmental Management or a related field Highly preferred; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
- Three (3) years of office clerical experience with an emphasis on customer service required
- Proficient with Microsoft Office suites like, Word, Excel, Outlook, and PowerPoint
- Knowledge of solid waste disposal and recycling requirements for safety preferred
- Current knowledge of Department of Transportation (DOT) CDL regulations strongly preferred
- Bi-Lingual preferred
