Job Summary
The Advisor Support Specialist has the responsibility of working directly with Doug to enhance the quality and timeliness of his service proposition to clients. The scope of this role involves day-to-day interaction to help clients with service needs, playing an integral role in supporting his ongoing client advisory process, as well as involvement in longer term projects that will enhance the effectiveness and efficiency of Doug’s practice.
Duties and Responsibilities
- Complete end-to-end onboarding of new clients.
- Process and record checks from clients.
- Prepare, process, and monitor status of all client forms and paperwork for broker-dealer and custodians.
- File client forms and compliance documentation.
- Ensure accuracy and integrity of all client contact and demographic information in our Customer Relationship Management (CRM).
- Develop proficiency in Schwab Institutional, BlackDiamond, and other systems.
- Responsible for monitoring assigned tasks and workflows in CRM.
- Open and process incoming and outgoing mail.
- Answer main practice phone line.
- Maintain and order office and other supplies.
- Maintain and oversee office equipment.
- Learn business processing and compliance systems and provide backup support as needed for all team members.
- Work extensively within the Microsoft Office365 suite (and other systems).
- Demonstrate flexibility of working productively.
- Prepare, coordinate, process and file required compliance forms.
- Monitor Account Supervision.
- Assist firm with annual privacy mailing to clients.
- Maintain Gift Log and provide to firm compliance monthly.
- Monitor and maintain state licensing requirements for the team.
- Annually review website, LinkedIn, business cards, letterhead, and email signatures. Update disclosures, other as needed.
- Help coordinate and facilitate marketing/communications calendar.
- Coordinate client events.
- Coordinate client gifts: holiday, new client welcome, referral thank you, new baby, etc.
- Maintain practice website hosted at FMG Suite.

Qualifications
- 2-3 years of experience in the financial services industry is a plus, but not required.
- Highly proficient in MS Office; experience with any financial industry software a plus.
- Excellent communication, organizational and interpersonal skills (integrity, humility, respect, empathy, and a healthy sense of humor).
- Ability to work independently but also be a proactive contributing team member.
- Strong attention to detail and ability to follow through on projects effectively.
