Administrative Assistant

Position: Administrative Assistant/Front Desk

Location: Little Earth of United Tribes Housing

Reports to: Property Site Manager

Supervises: NA

Hours per week: Full-Time (40 hours), Non-Exempt

Wage Scale: $15.00-$20.00 DOQ

Responsibilities:

· Meet and greet all visitors and direct to the appropriate personnel.

· Answer and direct all incoming phones calls.

· Compile renter complaint forms, dispatch logs, police reports, and safety advocate reports.

· Create, distribute, and file Lease Infraction Reports based on information gathered at the direction of the Site Manager.

· Create trespass files.

· Create rental application files.

· Maintain and update Native and Non-Native wait lists.

· Maintain Pest Management list.

· Create and provide security FOBs as and keep log of users.

· Create work orders and file in appropriate resident files.

· Create purchase orders in collaboration with the maintenance manager and accounting manager.

· Assist the Site Manager, Assistant Site Manager, and Maintenance Manager with administrative tasks as needed.

· Receive rent payments, issue receipts; endorse and log and submit to Accounting Manager for processing.

· Receive (date stamp & initial) and distribute mail daily with the Assistant Site Manager.

· Perform other duties as assigned by the Site Manager.

Minimum Qualifications:

High school diploma/GED required.

Must possess a valid driver's license.

3-5 years’ relevant experience.

Positive, friendly, and professional presentation and attitude.
