We are looking for an experienced Administrative Assistant to join our affordable housing team. They will be responsible for greeting, assisting, and providing direction and information to residents, visitors, and other guests. The Administrative Assistant will also support the Floating Manager and other appropriate staff.
Position Responsibilities:
- Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Performs administrative and clerical support tasks.
- Performs basic filing and recordkeeping.
- Generates/processes work orders.
- Posts appropriate notices for residents.
- Produces rent receipts as appropriate.
- Assisting w/ auditing files for Inspections.
- Assist w/ inspecting units when a Tenant moves out.
- Assist w/ inspecting units before a Tenant moves in.
- Filing Annual Recertification documents in Tenant Master files & filing away old ones in the obsolete files.
- Assist w/ obtaining signatures from Tenants for Annual Recertification Final Lease & signing leases.
Job Requirements
- High school diploma or equivalent required.
- Fair Housing certification required prior to interaction with prospects or residents.
- Excellent verbal communication skills.
- Excellent interpersonal and customer service skills.
- Basic understanding of administrative and clerical procedures and systems.
- Proficient with Microsoft Office Suite or related software.
- While performing the duties of this position the employee is regularly required to sit and talk and hear. The employee is frequently required to use hands to finger, handle or feel and reach with hands and arms. The employee is required to sit, stand and walk. The employee must occasionally lift and/or move up to 15 lbs.
