Description

General Duties and Responsibilities:
- Enhance Principals leadership effectiveness by providing information-management support
- Performs administrative and secretarial assignments with minimal direction
- Creates finished documents from notes or outlines, including letters, memos, project summaries, meeting agendas, meeting minutes, spreadsheets and presentations. Prepares PowerPoint presentations from outlines or notes
- Conserves principals time by answering incoming telephone calls, as needed, resolves issues, takes messages, forwards calls to the appropriate party, routing correspondence, collecting and analyzing information, and initiating telecommunications on their behalf
- Maintains principals appointment schedule by planning and scheduling meetings, conferences, and teleconferences
- Coordinates and schedules events and meetings, meeting rooms and required equipment for meetings
- Coordinates various trips and service projects, facilitates travel arrangements and prepares expense reports
- Maintains an adequate supply of materials for the division
- Creates and maintains filing systems and files for the division; securing all confidential information
- Maintains electronic calendar, contact list and other electronic files, data bases and website content for division
- Processes personnel forms for the division according to school policy, including attendance and leave forms
- Works with Human Resources department to facilitate the authorization of parent volunteers and drivers throughout the year
- Serves as the Middle School liaison to Parent Teacher Fellowship (PTF) and Campus Ministries
- Assist in the creation and implementation of the divisional budget, including tracking all expenses and providing accurate and up to date balances
- Contribute positively to employee morale; maintains a positive, pleasant demeanor to all constituencies; provides encouragement to students
- Other duties assigned by principal and/or headmaster as needed
Qualifications/Skills:
- High School diploma or GED and a minimum of five years experience in a similar position
- Ability to apply common sense understanding and to carry out instructions furnished in written or oral form. Ability to ascertain which people may need immediate assistance and to act accordingly
- Must demonstrate competency with word processing, spreadsheet, PowerPoint and internet functions
- Knowledge of Blackbaud database preferred
- Strong organization, multi-tasking, and time management skills
- Professional telephone and office etiquette
- High level of confidentiality
- Occasional overtime will be required (coincides with major events)
- Prestonwood Baptist Church member preferred.
Physical Requirements and Work Environment:
- Regularly sit, talk, walk, hear, and to visually intercept visitors
- Be able to occasionally lift between 30 50 pounds
- Regularly use close and distance vision
- Works at desk and computer screen for extended periods of time
- Turns, bends, reaches and may occasionally use a step stool or ladder
- Works primarily in a traditional climate controlled office environment with occasional outside travel between buildings or on trips
