Marketing Assistant (hybrid)
Location: Barcelona
Description:
We are looking for an experienced Administrative assistant for the role of Marketing Assistant, based in our Barcelona office. In this role you will form part of a dynamic team of professionals that drive our business. You will take care of traditional administrative tasks, as well as more marketing-oriented tasks and in doing so, work collectively with the team and in support of them to reach our local, international and corporate goals. You will report directly to the Marketing Manager, working closely with the rest of the team to maintain the company’s brand, deliver our messaging, achieve our objectives, and ensure the department’s high standards.
Responsibilities:
· Take calls and messages.
· Manage calendars, set up meetings for the team and manage their travel schedules
· Manage admin of our project work tool
· Manage inventories, filing and keep good working order at the Marketing desk
· Ensure documentation (physical and electronic) is up-to-date, relevant, and well organised
· Ensure all department databases are kept up-to-date and correct (distribution lists, contacts, and client databases …)
· Carry out preliminary marketing research
· Liaise with the admin centre for all expense and travel arrangements
· Maintain our intranet page and shared folders
· Be the first port-of-call for some vendors (promo items, designers and stationery providers)
· Source and maintain good ongoing relationships with third-party vendors
· Help draft and post small social media updates, e-communications, and web entries
· Assist in the organisation of internal and external events - virtual and in person - managing all registrations, delegate information, badges, delegate lists, and supporting audio visuals etc.
· Assist in some marketing material production and its distribution. To include promotional emails, letters, memos, faxes, presentations, and marketing documents to internal and external business contacts (includes document and PowerPoint formatting and smaller email marketing campaign contents creation and design efforts as well as minor web edition)
· Support, as an active member of the global marketing team, group marketing and communication projects
Profile:
- Fluent in English and Spanish, any other language a plus
- Long-term experience in an Admin role valued
- Able to cope with a dynamic and demanding environment, able to meet deadlines
- Excellent organization skills and paying attention to detail
- High degree of user proficiency with traditional Microsoft Office Suite (Word, Excel, Power Point etc.) and Office 365 (Teams, Yammer, Planner, Delve etc.)
- Superior document production and formatting skills (redlining and managing revisions)
- Fast learner with a common-sense approach
