Administrative assistant to the executive director. Provides administrative support to the medical director, LifeQuest directors and staff in all 4 offices. Oversees the secretarial staff in the Gainesville and office. Maintains all LifeQuest personnel and administrative files. Coordinates all travel, including processing paperwork for registrations, purchasing airline tickets and arranging hotel and rental car accommodations. Responsible for verification of accuracy of PTO and time/attendance for all LifeQuest staff prior to submission to payroll administrator. Coordinates purchasing of computers, equipment, office supplies and capital or minor equipment for all 4 offices. Manages the clerical day-to-day operations of LifeQuest. Takes the lead with clerical preparation for CMS, AHCA, UNOS and JCAHO surveys.
Minimum Education and Experience Requirements:
- High school diploma or equivalent.
- Five years of independently responsible secretarial/administrative experience with project task management required.
- Three years of supervisory experience preferred.
- Experience must include independent use of personal computer applications, including word processing, spreadsheet and database management skills (applications minimum such as Excel, Access and Word).
- Excellent written and oral communication skills are required.
- Type 45 wpm preferred.
- This position requires initiative and the ability to work independently on responsibilities, demonstrating organizational skills and flexibility.
- Proven ability to problem solve is essential.
Motor Vehicle Operator Designation:
Employees in this position will operate vehicles for an assigned business purpose as a "non-frequent driver."
NOTE: A frequent driver is defined as one who uses his/her personal or Shands automobile a) at least once daily, b) at least five individual trips per week or c) drives, on average, over 150 miles per week in the performance of his/her job.
