Administrative Assistant
1.0 FTE (80 hours Bi Weekly)
Days, 8 am- 4:30 pm
Every 4th Weekend/Holiday Rotation
Position Overview: The Administrative Assistant is responsible for providing clerical and administrative support for the clinical team. Assist with onboarding of residents and staff, acts as a liaison between facility and insurance agencies, and facilitates changes/updates in the EMR (electronic medical record). Assists in department projects as requested.
Essential Duties & Responsibilities:
1. Maintains a safe and orderly work environment.
2. Date Entry; Maintains electronic and physical records.
3. Assists with admission reviews, authorizations and appeals.
4. Revises EMR and electronic scheduling workflows to support the clinical team.
5. Participates in the accurate reporting of PBJ (Payroll-based Journaling) hours for the Center of Medicare and Medicaid Services.
6. Engages in and supports continuous improvement initiatives.
7. Participates in training and monitoring of staff competencies.
8. Assists with clerical procedures related to the MDS.
9. Assists with diagnosis and coding processes.
10. Coordinates resident appointments, supply/DME ordering and continuity of other core activities.
11. Other clerical duties as assigned
Essential Skills and Experience:
1. Efficient in medical coding or ability to be trained within 6 months of hire.
2. Completes all mandatory training as required by Winona Health.
3. Demonstrates exceptional verbal and written communication skills to assure resident information is accurate and reflective of their plan of care.
4. Advanced computer skills and prior medical record experience.
5. Proficient in Microsoft Office; Outlook, Excel, Word and Power Point.
6. Ability to prioritize and manage duties in a high paced environment.
7. Valid Driver’s License. CPR Certification.
