Endicott College is seeking an Administrative Assistant to provide administrative support to our
Vice President of Institutional Advancement.

This position requires a proactive, detail-oriented, and organized individual who can manage multiple tasks and priorities with a high degree of accuracy and discretion. The Administrative Assistant will be responsible for handling confidential information, communicating effectively with internal and external stakeholders, and managing the Vice President's calendar and travel arrangements.

Primary responsibilities include:
- Manage the Vice President's calendar and schedule appointments, meetings, and conference calls.
- Coordinate travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Provide general administrative support, including managing mail and email, answering phone calls, and filing documents.
- Coordinate and assist with special events and projects, including fundraising campaigns and alumni relations activities.
- Maintain the Vice President's budget and expense reports.
- Collaborate with other Administrative Assistants and staff members to ensure efficient office operations.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Improve and enhance the efficiency and effectiveness of the IA Department Administrative processes and procedures.
- Serve as lead project manager (overseeing planning, preparation, scheduling and deadline compliance) for projects relating to the IA team's administrative responsibilities such as: annual operating plan, performance appraisal and assessment process, department expense reporting.
Qualifications:
- Associate/ Bachelor degree in Business Administration or related field or significant work experience
- Minimum of 2 years of experience in an administrative support role.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent organizational, communication, and interpersonal skills with a strong attention to detail and accuracy.
- Ability to work independently and manage multiple tasks and priorities.
- Experience working in a higher education or nonprofit environment preferred.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
