Job Summary
The Eugene McDermott Library has a great job opportunity if you are looking for a welcoming atmosphere composed of a wonderful team of professionals. We are looking for either an Administrative Assistant I or II based on your qualifications and experience.
Under the supervision of the Dean of Libraries and Archives, the Administrative Assistant will provide support for the Library. You would be managing most aspects of timesheet reporting, interfacing with Facilities and others on the repair and enhancement of the library facility, all aspects of job searches and employment paperwork, the efficient ordering and receipt of supplies/inventories, the coordination of records retention according to University procedures, all library travel/training expenditures, and some limited event planning. The successful candidate would provide essential public service to the library employees and all visitors to our administrative office including the answering of email, telephone calls, and other forms of communication in a professional manner.
Administrative Assistant I position information:
FLSA Status: Non-exempt
Salary Grade:08
Salary range: $35,796 to $44,000 depending on experience.
Administrative Assistant II position information:
FLSA Status: Non-exempt
Salary Grade:09
Salary Range: $40,000 to $49,000 depending on experience.
Minimum Education and Experience
Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.
Preferred Education and Experience
Administrative Assistant I: Strong verbal and written interpersonal communication skills. Ability to work on several projects at any time and ability to prioritize the projects. Must work independently and as part of a team. Previous experience in an academic library is preferred. Internal University candidates preferred.
Administrative Assistant II: In addition to the education and experience outlined under the Administrative Assistant I, a successful candidate would have a working knowledge of University policies and procedures, experience with campus travel and purchasing systems as well as a working knowledge of PeopleSoft, eProcurement, and the Microsoft suite of software including Word, Outlook, and Excel. Internal University candidates preferred.
Essential Duties and Responsibilities
Administrative Assistant I
  • Maintains appropriate submission of library employee timesheets
  • Reports all building maintenance and renovation projects to specific parts of Facilities (includes outages, deliveries of new equipment/furniture, renovation timelines). Interfaces with local vendor for plants/foliage in the library.
  • Manages all job searches including employment paperwork to advertise open positions and completing the Human Resources paperwork to hire and onboard successful candidates.
  • Purchasing: Creates requisitions for supplies and other purchases using the Jaggaer system. Handles incoming orders/packages. Uses a OneCard for most purchasing. Makes sure all transactions are compliant with UT System and UT Dallas policies and procedures.
  • Travel: Processes all approved requests for travel/training. Purchases flights using Concur systems. Reserves hotels and other transportation as needed. Reviews expense reports and receipts, calculates expenditures such as mileage and completes forms for reimbursement in Jaggaer.
  • Handles requests for Parking Permits in Lot G for outside visitors.
  • Manages some event planning requests (coordinating campus venue requests, media requests, and food requests).

Administrative Assistant II:
  • In addition to the responsibilities outlined above:
  • Manages the complexities of domestic and international travel including handling documents for entering certain countries which require a visa, etc.
  • Determining complex requests for purchasing such as acquiring price quotes from vendors.
