Hutchinson Public Schools is seeking an Administrative Assistant at our Middle School building starting in spring of 2024

Work Days per Year: 176 days at 8 hours.
Job Objective: Assist with the basic duties and responsibilities to maintain an efficient school office. Carry out the office functions for a building, department, or specialized level of a building.
Key Responsibilities:
A. MARSS, Attendance & Student Membership Recordkeeping
- -Attendance - hourly, appointments, illness
- - Adds/Drops and Year-end Reports
- - Help students in Nurse's absence
- - Deliver passes, packages to students and staff
- - Assist with ALC registration and assistance as assigned
B. Update and maintain Reference Documents and Schedules
- - Enter MS info on district website
- - Make sure copies are posted in the building
- - Email announcements to staff
- - Prepare daily announcements
- - Laminate items for staff
C. Receptionist Duties
- - Greet Visitors, Answer or direct public as required
- - Assist Staff, Parents and students
- - Answer phones, take messages, transfer calls
- - Maintain security by monitoring visitor check-in
D. Student Registration
- - Create New Student Cumulative Folders
- - Distribute student records to Sped, Nurse, Teachers as needed
- - Mail transfer records to new school
- - Maintain all cumulative records for all students
E. Organize, copying, printing
- - Mass mailings, parent letters, back to school letter
- - Midterm and end of term grades
- - Generate honor roll and send to local newspaper
- - Create parent newsletters and student discipline letters
F. Administrative assistance
- - Provide assistance to Principal and Asst. Principal, teachers and staff as requested
- - Sort and distribute mail
- - Maintain copiers (supplies, troubleshoot jams, call for service)
- - Prepare for Substitute Teachers
- - Student Locker Assignments
- - Maintain a high level of ethical behavior and confidentiality of any information
- regarding students, personnel and all job-related matters
- - Assist with first count for cash handling procedure as assigned by Principal or Assistant Principal
I. Special Sporting Events
- - Organize and Prepare information
- - Sign-up Sheets, collect and count fees (first count)
- - Compile bus lists
J. Other Duties as Assigned
Job Requirements:
1. Education: High School diploma or equivalent
2. Experience: Secretarial Experience Preferred
3. Machines, Tools, Equipment, Electronic Devices, Software Required: Microsoft Office (Word, Excel, Publisher), Google Apps (Email, Drive, Docs, Sheets), Infinite Campus
4. Knowledge and Skills: Strong Computer skills required, Strong Secretarial, Receptionist and Office skills preferred
