Position Summary:
Reach Out and Read Minnesota gives young children a foundation for success by incorporating books into pediatric care and encouraging families to read aloud together. The Reach Out and Read model was developed by pediatricians and early childhood educators to make literacy promotion a part of regular well-child checkups at primary care clinic sites so children enter school prepared to excel. We are seeking a skilled and detail-oriented Part-Time Administrative and Operations Assistant to join our team. This role will provide essential administrative support in managing various tasks related to Google Workspace, Salesforce, accounts payable and receivable, meeting coordination, and data management. This position receives an hourly rate at approximately 20 hours per week. This position will primarily work during normal business hours but with flexibility. This position will be based from home, but will need the ability to attend in-person meetings and events several times a month. Responsibilities:
- Assist in donor development tasks, including processing donations and acknowledgements, tracking grant statuses, due dates, and reporting data, and cataloging development related notes and research.
- Assist the Executive Director with financial management, including recording financial transactions, managing accounts payable and receivable, and reconciling accounts.
- Assist with book ordering and tracking processes
- Manage and organize digital assets including Google Workspace, ensuring documents and files are organized, updated, and easily accessible for the team.
- Provide logistical support for in-person and virtual meetings and events
- Manage and organize distribution of the organization’s physical assets, including bookmarks, apparel, office supplies, and other materials
- Assist staff in administrative duties as needed
- Attend in-person or virtual staff meetings and National virtual meetings, as needed
- Provide project support for various initiatives
- Act as first point of contact for calls and general inquiries
- Complete other duties as needed or assigned.
Minimum Qualifications:
- Two years of relevant experience and/or 2 year degree
- Passion for literacy, young children and their families, and health equity
- Excellent verbal and written communication skills, with a high level of attention to detail
- Demonstrated ability to work independently and as a team player
- Proven ability to effectively prioritize tasks to meet goals/deadlines
- Must have ability to understand and maintain sensitive, confidential information
- Proficient in MS Office
Preferred Qualifications:
- Familiarity with Salesforce, Google Workspace, and Freshbooks (or similar billing platform)
All mileage will be reimbursed at the federal IRS mileage rate.
