SUMMARY:
The Administrative Assistant maintains and updates all administrative databases as well as produces reports as needed. Performs numerous secretarial and administrative duties under minimal supervision. Assists with projects, cross-trains for assistance with other departments and participates as needed with physician/mid-level provider related projects, including data gathering and statistical analysis. Maintains calendars and task lists.
RESPONSIBILITIES:
* Provides professional telephone support daily for multiple lines; including screening, taking messages and responding to highly diversified inquiries externally and internally.
- Maintains and prioritizes daily action items for personal follow up and management.
- Assists with complex administrative duties involving contact and exposure to proprietary information.
- Arranges travel and hotel accommodations as requested. Assembling information and prepares materials including itineraries. Accurately prepares expense statements.
- Receives sorts, distributes, opens and screens incoming mail and email. Categorizes and prioritizes responses as needed.
- Collects and prepares information for use in discussion and meetings of executive staff and outside individuals.
- Have complete knowledge of PowerPoint, word and excel applications in order to prepare high quality presentations.
- Maintains and coordinates events, appointment schedules, keeps Outlook calendar updated, and organizes meetings as needed.
- Supports team members and provides back up to other Administrators as required.
- Undertakes projects at direction of administrator.
- Offers ideas for executive and team improvement and best practices when appropriate.
- Delegates task by communicating clearly the expectations of team members.
- Keeps abreast of all pertinent federal, state and facility regulations, laws and policies as they presently exist and as they change or are modified.
- Understands and adheres to compliance standards as they appear in the Corporate Compliance Policy, Code of Conduct, and Conflicts of Interest Policy.
- Demonstrates age-specific skills as required by position.
- Offers suggestions on ways to improve operations of department and reduce costs.
- Attends all mandatory education programs.
- Improves self-knowledge through voluntarily attending continuing education/certification classes.
- Maintains required competency levels as identified in written exams, skills checklists, skills labs, annual safety and health requirements as well as service excellence education hours requirements.
- Willing to cross-train in order to better assist co-workers and to provide maximum efficiency in department.
- Volunteers/participates on hospital committees, functions, and department projects.
- Manages resources effectively.
- Reports equipment in need of repair in order to extend life of equipment.
- Makes good use of time so as to not create needless overtime.
EDUCATION:
* High School Diploma or Equivalent

OTHER INFORMATION:
* Bachelor's degree or a minimum of five (5) years of experience as an executive assistant preferred.
