Job Summary
Shambaugh Fire Protection is looking for an Administrative Assistant in our Norcross, Georgia office. In this position you will be responsible for a wide range of customer service and administrative duties including providing support to ensure efficient operation of the office.
Essential Duties and Responsibilities
- Welcomes visitors by greeting them, in person or by phone, answering or referring inquiries.
- Provide general administrative and clerical support to management team
- Schedule service appointments and maintain calendars
- Send and Receive mail and deliveries
- Perform data entry tasks and maintain accurate records
- Process weekly payroll for field employees
- Enter and maintain employee and project data
- Create, update, and distribute various reports as needed
- Prepare, process and monitor invoices
- Maintain filing systems
- Respond to vendor inquiries and maintain positive vendor relationships
- Assist with processing new hires
- Process service work tickets
- Maintain and Organize office supplies
- Utilize accounting system to retrieve work order numbers
- Other duties assigned
Qualifications
To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required
- Professional communication skills, both written and verbal
- Knowledge of administrative and clerical procedures and systems such as word processing, e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level.
- Advanced computer skills, including proficiency in Microsoft Office Suite and Windows operating systems, including ability to create and manage spreadsheets and programs
- Ability to learn and retain new information quickly and efficiently
- Must be organized, self motivated and possess a strong work ethic
- Possess an upbeat, positive, and enthusiastic attitude with the ability to work in a fast-paced environment
- Be a confident self-starter who works well both independently and as a team player
- Strong problem-solving skills and ability to handle multiple tasks simultaneously
- Attention to detail and accuracy in data entry and record keeping
- Working knowledge of office equipment, such as printers, scanners, phone system
- Experience with AS400 is preferred.
- High school diploma or GED is required.
- 5+ years of administrative experience is required.
- Previous experience in the Fire Sprinkler/ Construction industry is a plus
