Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with more than 4,000 lawyers and staff in 31 offices, is seeking an Administrative Assistant – Trademark Portfolio Services, reporting to the Senior Manager, Trademark Support Unit. This position will reside in the Washington office and will be responsible for providing a broad range of administrative and production support to our firm’s Trademark Portfolio Services group, with an emphasis on superior client service.
General administrative assistance
- Maintains individual and event calendars.
- Schedules meetings, interviews, and coordinates all associated arrangements (i.e., conference rooms, invitations, food and beverages, etc.).
- Makes travel arrangements and schedules related activities.
- Responds to inquiries and resolves questions/problems surrounding administrative issues.
- Creates, edits and proofreads correspondence, memorandums, reports and other general communication.
- Arranges audio and video conferences (e.g., conference calls and meetings with multiple participants in multiple offices/time zones).
- Provides administrative support to various projects or departmental teams, as requested.
- Handle incoming paper mail.
- Assisting with reporting of formalities to clients.
- Continuously audit, update, and maintain administrative standard processes and iManage files.
- Reserve resources and manage enrollment and attendee communications for professional business and legal staff workshops and learning sessions.
- Other duties as assigned.
Departmental process improvement assistance
- Develops and maintains a system for tracking matters that require future attention.
- Assists with development of and maintains databases and processes to manage efficiencies in department across all the Firm.
- Prioritizes tasks and ensures deadlines are met.
- Handles confidential information discreetly.
- Maintains cooperative working relationships within office and Firm departments and practice groups; fosters positive working environment.
- Responds to management, attorney, client, staff, and vendor inquiries.
Experience/Qualifications
- Associate’s degree (A.A.) or equivalent from two-year college or technical school, and minimum 1-2 years of experience related experience; or equivalent combination of education and experience.
- Professional services, especially law firm, industry experience a plus.
- Demonstrated proficiency in Microsoft Excel, Outlook, Teams, and PowerPoint, as well as WebEx.
- Strong organizational skills, attention to detail, the ability to balance multiple tasks in a fast-paced environment, and the ability to manage confidential information with discretion.
- Excellent written/verbal communication skills, strong interpersonal skills, and the ability to work independently and as part of a team.
- Flexibility to work overtime is required.
