ABOUT THE JOB:
The Administrative Assistant will support the Intensive Forensic Services (IFS) team and their Aid and Assist services. This position is responsible for independently carrying out a variety of high level administrative, coordination, and program liaison duties. Incumbent will manage communication with a variety of community partners, including the Circuit Court, Oregon State Hospital, and Oregon Health Authority. Job duties also include data tracking and regular reporting to court and state entities, capturing notes and action items from meetings, and ensuring that members of the IFS team are kept informed of coordination communication.
Key Responsibilities:
- Manage a wide variety of projects within a team-based environment.
- Handle materials or correspondence, which may be sensitive and complex in nature.
- Provide support to programs as assigned.
- Initiate and coordinate the administrative aspects of projects to support the Intensive Forensic Services Team.
Knowledge of or experience with:
- Applicable state and federal law, rules, codes, and regulations for area of assignment.
- General office management principles, practices, and methods.
- High level skill in Microsoft Office programs, including Publisher, Excel, Word and Outlook.
- English grammar and composition, business and/or legal formats, spelling, arithmetic, filing and record keeping.
- Sufficient human relations skills to communicate standard yet sometimes sensitive information.
- Initiating and coordinating multiple administrative aspects of projects leveraging technology resources.
- Understanding and applying relevant rules, ordinances, codes, regulations, policies, procedures, administrative orders, and other governing regulations.
- Working independently, maintaining composure and confidentiality, and working effectively in a high-pressure environment with changing priorities.
- Entering data and numerical information into a computer system with speed and accuracy, and maintaining electronic records, files and databases.

Compensation
$4,629.30 to $6,203.69 per month for a 172.67 hour work month. Excellent County benefit package when eligible. This position is available immediately.

Minimum Qualifications
- Associate’s degree in Business or Public Administration;
- AND two (2) years of public sector administrative and technical support experience;
- OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.
- Preference will be given for experience working with the legal/criminal courts system.
- Preference will be given for experience with Microsoft Office products including Word and Excel.
Necessary Special Requirements
