Seeking an organized, diligent Administrative Assistant to provide ongoing clerical support to the Finance Department to ensure smooth day-to-day operations. This role will perform routine clerical functions such as preparing and filing documents, handling correspondence, answering telephones, and managing mail. They will acquire and maintain notary public status. They will also support the Facilities and Transportation Departments. Position Highlights
1. Prepare bank deposit packages; close cash register in the cafeteria; prepare check requests/SRFs for departments.
2. Support the Resource Development Department in collecting and submitting documents for grants/contracts, as needed; coordinate the collection and submission of documents for licensing applications/renewals.
3. Update the annual insurance coverage analysis and obtain and maintain insurance certificates; update employee deduction data for benefit balance sheet accounts; and support the coordination of financial audits.
4. Answer and route department phone calls; open, sort, and route incoming agency mail; prepare outgoing mail; and order departmental supplies.
5. Compile and maintain files for capital and other projects, including cost comparisons and vendor quotes.
6. Work on other ad hoc tasks to support the Department of Finance.
