Job description

ROLE SUMMARY
This position will provide a full range of administrative support in the Legal Division’s Administrative Center of Excellence. The ideal candidate will demonstrate the ability to work well within a team or as an individual contributor on projects.
ROLE RESPONSIBILITIES
  • Provide a full range of administrative support including managing complex calendars, scheduling high-level, time-sensitive meetings, managing travel arrangements, and completing expenses.
  • Ability to prioritize time-sensitive matters and complete projects on time and as assigned.
  • Supporting various Legal Division client mailboxes to triage incoming requests for legal support.
  • Handle documents of a confidential nature and, where appropriate, respond to, create, compose, and/or edit written materials and/or e-mail responses.
  • Provide project management support to Director of Legal Finance, including researching and providing status of vendor payments, purchase orders, managing critical business payments, and creating and maintaining vendors in finance systems.
  • Utilize Team Connect to assist in managing Legal matters including searching for data.
  • Supporting the reporting requirements using internal platforms and systems (FUSE), opening tickets related to P2P issues.
BASIC QUALIFICATIONS
  • High School diploma or GED
  • Prior administrative support with a minimum of 5 years of experience.
  • Excellent communication and collaboration skills.
  • Ability to execute initiatives in a timely manner with high quality.
  • Demonstrated resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.
  • Ability to work well both in a team environment as well as operate independently with minimal supervision.
  • Independent, proactive and able to anticipate business needs.
  • Ability to exhibit good judgment in handling confidential information.
  • Excellent attention to detail and proofreading skills.
  • Strong proficiency in MS Teams, Word, Excel, PowerPoint, and Outlook are essential.
  • Adept at learning new technologies and tools.
  • Must have the ability to excel in a shared services model as a member of the center of excellence. This includes collaborative teamwork, excellent communication skills in a team environment, willingness to share learnings and to take on unfamiliar tasks.
  • Must have a high comfort level with working in a fast-paced environment, influence best practices, and coordinate workflow.

The salary for this position ranges from $28.41 to $47.35 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
