We are seeking an exceptional Administrative Assistant to manage the administration of clients and the office. The Administrative Assistant reports to the Executive Assistant, and is responsible for providing administrative and clerical supports to ensure daily operations are maintained effectively and efficiently.
This position is ideal for an organized professional who has outstanding skills and want a stable and long-term position with a small firm. Our ideal candidate is a detailed oriented self-starter with the ability to take initiative and work with minimal supervision. The candidate must be a team player with a can-do positive attitude, the ability to prioritize workloads, multi-task, and answer phones.
Integrity, professionalism and excellent communication and skills are essential.
Requirements:
• Previous administrative experience with a small office or team
• Professional experience with data entry
• Strong computer skills in Microsoft Word, Excel, and Adobe
• Professional, elegant and polished verbal and written communication skills are essential
• Ability to handle multiple projects and assignments
• Enthusiastic and works well with others
• Dependable, punctual, and proactive
Responsibilities:
• Maintain databases
• Answer phones and provide answers to client questions as efficiently as possible
• Direct emails and respond to inquiries
• Greet and assists visitors
• Carry out all related administrative duties such as filing, typing, copying, and scanning
• Receive and distribute mail
• Perform any/all tasks as required by the Executive Assistant/Office Manager.
