JOB SUMMARY: The Administrative Assistant will be responsible for first impressions, internal and external, with customers and all administrative functions of the front desk and office support to meet the needs and demands of the company. The individual must be able to hold confidential information and demonstrate a willingness to provide an excellent experience, seizing opportunities to create raving fans with every interaction.
JOB DUTIES AND ESSENTIAL FUNCTIONS:
- Responsible for operating a multi-line phone system, answering all calls to ensure customers speak to a live person and are pleasantly greeted and transferred to the correct person in a timely and accurate manner.
- Maintains a professional, customer-focused first impression for all visitors and employee-owners entering the office.
- Prepares expense reports for the Executive.
- Responsible for timely and accurate administration functions supporting needs of company and customers, including but not limited to: entering confidential information into online databases, filing documents, scanning and uploading documents, preparing reports as needed, and managing incoming and outgoing mail/FedEx/UPS.
- Responsible for updating PowerPoints for the Executive.
- Responsible for all housekeeping needs and building maintenance, including but not limited to: ordering supplies, scheduling repairs and appointments, and managing/resolving phone system changes or issues.
- Responsible for ordering office supplies and ensuring items are stocked.
- Responsible for opening and closing the front office area for the day and ensuring it is clean and free of hazards.
- Assists in organizing and executing company events.
- Other duties and special projects as assigned.
Key Actions: Focus should be placed on customer service, safety, timely communication, and follow-up.
Minimum Qualifications:
- Ability to handle multi-line phone system
- Ability to work within a team
- Ability to meet deadlines and work in a fast-paced environment with interruptions and prioritize duties
- Ability to hold confidential information
- Two or more years office/administrative experience preferred
- High School diploma or equivalent
