PURPOSE: Assists the Human Resources & Administration Manager with the department’s administrative activities and coordinates various administrative processes and projects. Provide administrative support to the Executive Management team as assigned. Contribute to the achievement of the CDC Federal Credit Union’s Strategic Goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Service
- Provide exemplary service to all internal and external members
- Provide administrative support for Human Resources and Administration Manager, President/CEO, and EVP/CFO as needed
Administrative Support
- Coordinate various lunches for in-house meetings under the direction of the Human Resources and Administration Manager
- Handle purchase and maintenance of CMN Snacks/Soft Drinks; (Sam’s and Costco)
- Prepare and handle distribution of birthday and anniversary recognition. Serve as liaison with local florist for life events.
Investment and Retirement Program Support
- Organize and maintain client databases used by the Financial Advisor
- Answer the phone, take messages, or re-direct callers to appropriate contact for service
- Set/confirm appointments and make outbound calls as directed
- Handle preparations and organization of seminars and work after hours as requested
- Organize and maintain client files in conformance with regulations
- Process paperwork and complete forms for new and existing clients
- Send client review letters, birthday cards, thank you letters, contracts, manage Account binders, newsletters, and other client mailings
- Update and maintain lists as new clients are added
- Order and maintain printed marketing and administrative supplies
Committee Administrative Support:
- Prepare correspondence and prioritize items that need attention
- Maintain Outlook calendars to set/cancel appointments and coordinate a calendar of events, meetings, reports, special projects, etc.
- Maintain Database and run weekly, monthly, and quarterly reports
- Prepare, organize, and coordinate, Board, Investment, Treasurer, and ALCO meeting materials, agendas, and logistics
- Distribute the Weekly Rates Meeting Package and ensure decisions are communicated to appropriate staff
- Attend Board, Investment and ALCO, meetings and take minutes
- Support special projects as assigned, i.e., annual member and organization meetings
Miscellaneous
- Comply with all CDC FCU policies and procedures as applicable
- Maintain confidentiality regarding non-public information about our members and CDC FCU
- Promote CDC FCU Membership
- Handle all other duties as assigned
Knowledge/Experience/Skills/Abilities
- Some college preferred; 2+ years previous experience
- Must comply with all credit union policies and procedures, applicable laws and regulations, including but not limited to the Bank Secrecy Act and the Bank Bribery Act.
- Requires high-level of integrity to maintain confidentiality
- Valid driver’s license
- Excellent grammar and communication skills; written and verbal
- Work well with others at all levels, team player
- Maintain a professional appearance in accordance with CDC FCU’s dress code
- Flexible; able to work after hours on occasion
- Strong organizational skills; detail-oriented and a self-starter
- Computer literate; able to learn and adapt to new technologies; highly proficient in the use of Microsoft Office Suite and Adobe products.
