Job Description
The Administrative Assistant for Improving Community Treatment Success (ICTS) is responsible for general office support duties within the ICTS programs/teams.
This is a fill-time, benefit eligible position. The schedule is Monday - Friday 8:00am - 5:00pm. This position is primarily based in Columbia, some travel to multiple locations in Sedalia, Camdenton, California, Rolla and St. Robert are required.
ESSENTIAL FUNCTIONS - JOB SPECIFIC:
- Verify insurance, demographic information and financial paperwork, ensuring all required forms are completed for CIMOR functions in MyAvatar, update as necessary
- Cross-check multiple software systems for data accuracy and proper implementation
- Track and maintain weekly reporting regarding IOP/PHP census and group attendance throughout all regions
- Maintain/update group schedules throughout all regions
- Maintain/update expenditure tracking logs, contingency management, etc.
- Maintain/update CSS/PSS roster across all regions
- Research and obtain client data for input through communications with ICTS staff, supervisors and directors throughout all regions
- Run daily/weekly reports to identify areas of concern to assist supervisors and directors
- Research, obtain, and update client data for contact and re-engagement of services for ICTS participants across all regions
- Generate reports and assist with overall data extraction, interpretation, and analysis from management systems to maintain integrity of data
- Process all necessary client information for enrollment, transfers and discharges for clients to be admitted into program
- Complete daily hospitalization reports for all regions that require research and verification before sending to Supervisors and Directors
- Assist with overall data extraction, interpretation and analysis from management systems to maintain integrity of data
- Maintain ICTS Tracking & Monitoring spreadsheet to ensure accuracy in reporting
- Responsible for creating/maintaining surveys where appropriate
- Assist in the purchase/requisition of items to support program (e.g., gift cards, Uber cards, etc.)
- Maintain required documentation (e.g., expenditures, receipts, PARs, etc.); scanning, uploading, filing, etc.
- Ensure confidentiality of client records; adheres to all HIPAA guidelines/regulations
- Assist Regional Director in efforts and tasks related to tracking progress and development toward departmental strategic plan goals for ICTS program staff
- Special Projects for supervisors and directors
- All other duties as assigned by Regional Director
High School/GED required - 1-2 Years' experience preferred
- Proficient knowledge of all Microsoft Office especially Excel required
- Technology proficient
- A valid driver's license and agency established minimum automobile coverage required
