Description
The St. Joseph Catholic Academy is a nonprofit corporation providing a PreK-12 education ministry of the Roman Catholic Diocese of Kansas City-St. Joseph, Missouri and is formed in collaboration among the St. Joseph parishes. While there is a rich history of parish schools that date back over 100 years in the community, those campuses are now part of one family. The campuses include St. Gianna Early Childhood Center, Cathedral School, St. Francis Xavier School, St. James School and Bishop Leblond High School.
Position Summary
The Administrative Assistant for the St. Joseph Catholic Academy is responsible for streamlining office operations, creating and managing donor and alumni databases, and assisting with the promotion of the St. Joseph Catholic Academy. This position is part time averaging 25-28 hours per week.
Essential Duties
- Oversee daily office operations to maximize efficiency.
- Answer phone calls, emails, and other correspondence.
- Welcome and assist visitors to the office.
- Maintain office supplies and equipment.
- Draft and edit documents, emails, and reports.
- Assist in preparing presentations and materials for meetings.
- Compile and distribute the agenda and board packets to Board members in advance of each monthly meeting under direction of the President.
- Attend the Academy Board and Committee meetings and prepare and transcribe minutes.
- Manage filing systems and ensuring proper record-keeping.
- Assist with reporting on the Academy campus events - including pictures, videos, and quotes.
- Assist with maintaining and updating the Academy website.
- Maintain the Academy calendar.
- Assist with setting-up and organizing events hosted by the Academy.
- Special Projects as directed by the President.
Knowledge, Skills, and Abilities
- Excellent grammar and communication skills.
- Attention to detail with an aptitude for quality.
- Strong organizational skills.
- Ability to maintain confidentiality.
Education and Experience
- 3 or more years' experience in a professional setting.
- Intermediate to advanced skills using Microsoft Office, Google Suite, Canva or other similar software platforms.
- Bachelor's degree is preferred but not required.
