Partners Personnel is seeking an Administrative Assistant, located in Vacaville, CA! This position performs clerical and administrative functions in order to drive company success. Temp to hire with room for advancement! Offering $20-26/hr. DOE
Responsibilities:
- Answer all incoming phone calls and direct to appropriate personnel. Take and distribute messages as necessary
- Organize and schedule appointments for service, route and well technicians
- Prepare all service orders and paperwork for scheduled services
- Write and distribute emails, correspondence memos, letters, faxes and forms
- Maintain filing system: file all service orders, vendor invoices, reports, etc.
- Maintain contact and access lists, invoice email list and auto-credit card list
- Provide general support to visitors and act as the point of contact for internal and external clients
- Liaise with executive and senior Administrative Assistants to handle requests and queries from senior managers
- Prepare invoices for review and approval and distribute via email or USPS mail
- Run operational errands as needed: bank for deposits, pick up merchandise from vendor facilities, pick up and bring mail to post office
- Distribute prepared estimates to clients and maintain follow-up records
- Maintain vehicle fleet maintenance records and schedule service as needed with appropriate vendor
- Perform Accounts Payable/Accounts Receivable
Qualifications:
- Strong attention to detail
- Strong organizational skills
- Ability to work independently and meet deadlines
- Previous experience in office administration or other related fields
- QuickBooks experience a plus!
- Ability to prioritize and multitask
- Excellent written and verbal communication skills
