Job Description
We are seeking an Administrative Assistant to join our team! You will perform clerical and administrative functions in order to drive company success.
Responsibilities:
· Provides secretarial and administrative support to the President and Vice President and other staff members.
· Answers incoming GSA calls by 2nd or 3rd ring and directs to appropriate staff and/or department, along with responding on a daily basis, with the customers of GreenScape Associates. Maintains a daily log of all calls. Handles all calls in a professional business manner and communicates politely and effectively with all callers.
· Greets and assists all customers, staff and visitors who enter building and maintains an active list of all who enter and depart at all times. Responsible for monitoring the building activity, individuals in habituating at any time and tracking all deliveries.
· Maintain and file the payable, vendor and customer files. Keep neat and organized
· Maintains shared customer and vendor contact database.
· Maintains kitchen drink supplies and insures that coffee is made every day for staff and visitors. Responsible for cleanup at beginning and end of the day. Responsible for food ordering, delivery and setting up for staff lunch meetings. Responsible for insuring cleanliness of offices including trash collection of all receptacles and depositing into Republic Services receptacles for trash and recycling items a minimum of once a week or more often as necessary.
· Assists President and Vice President/General Manager and staff, as required.
· Proficient in the use of the GreenScape computer system especially in Microsoft Office software.
· Dedicate 100% of business hours (M – F 8am to 5pm) to GreenScape Associates activities.
· Other duties as assigned.
Qualifications:
- Previous experience in office administration or other related fields
- Ability to prioritize and multitask
- Excellent written and verbal communication skills
- Must be able to utilize Microsoft Office Suite (outlook, word, excel)
- Strong attention to detail
- Strong organizational skills
- Bi-lingual (Spanish / English) a plus
